Job Duties & Responsibilities:
- Administrative organizational support to Sales Manager and Sales Team.
- Timely response to all customer inquiries.
- Maintain a working knowledge of products and manufacturers represented by Climatec. This includes the maintenance of manufacturer literature and pricing, and miscellaneous marketing materials.
- Source construction projects bidding and planning “On Line” with Dodge Report Service, ISqFt, Builder’s Exchange, and contractor bid lists.
- Download construction plans as required from Dodge Report Service.
- Management and knowledge of the Bid Tracer for quote log, proposals, bookings, selling activities.
- Make calls to contractors to create a bid list for each job.
- Maintain a database of contractors, service customers, prospects and other contacts.
- Assist service department with the proposals & booking of small jobs.
- Request and track required bonds.
- Requests credit supplement sheets, bond information, and sales tax certificate.
- Assist in creating proposals.
- Periodically checks for plans, specifications, and updated addendum's for the bid projects. Prints all applicable project documents and distributes them to the appropriate sales team member.
- Ensures booking packages are complete with all associated documents.
- Maintain a supply of sales/promotional items.
- Manage all check requests for the sales division.
- Maintain & compile sales literature. Put together packets based upon individual salesman needs.
- Coordinates with Subcontractors or internal installation team to achieve maximum value in installations.
- Other duties as assigned.
Skills & Qualifications:
- Minimum of high school diploma.
- Proficiency with Windows applications primarily Word, Excel, Power Point.
- Excellent organization skills, accuracy, dependable work habits and good communication skills.
- Ability to respond to common inquiries or complaints from customers
- Ability to plan work and sequence priorities
- Ability to speak articulately one-on-one or to small groups
- Ability to compose articulate and grammatically correct written communication
- Ability to perform under difficult conditions, such as simultaneous deadlines
- Ability to handle conflict
- Clear and concise ability to communicate verbally and in writing.
- An ability to understand empathetically the issues and perceptions others have and to creatively and successfully work through these issues to achieve a successful outcome and customer and employee satisfaction.
Essential Functions:
Public contact includes extensive and frequent interaction with Climatec customers and co-workers. It is one of the key elements of the position.
