JOB DESCRIPTION:

Responsible for the purchasing of all goods and services necessary for company operations and managing vendor relationships.

JOB RESPONSIBILITIES:

  • Supervise and direct activities of the purchasing department personnel
  • Prepare and process purchase orders for equipment, parts, materials, supplies, and services
  • Maintain records of goods ordered and received
  • Monitor shipments to ensure that goods are delivered on-time, and in the event of problems, trace shipments and follow up undelivered goods
  • Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, distribution capabilities and the supplier’s reputation and history
  • Negotiate, and/or renegotiate, and administer contracts with service providers
  • Confer with directors, users, and vendors to discuss defective or unacceptable goods or services (including timeliness) and determine corrective actions
  • Work directly with Accounts Payable specialist to correct problems with invoices
  • Resolves disputes and claims between vendor and company
  • Analyze market and distribution systems to assess present and future material availability and pricing (Ex. Commodity items swing widely in availability and price – copper, insulation, sheet metal, refrigerant, etc.)
  • Maintain and review records of items purchased, costs, delivery, product performance, and desired inventory levels
  • Prepare monthly “Vendor Rating” list [Based on a scale of 1 to 10] in order to determine their effectiveness and reliability
  • Other duties as required by management

MINIMUM JOB REQUIREMENTS:

  • 2+ years of Purchasing experience
  • Bachelors degree in Business, Supply Chain Management, or similar degree, or equivalent additional experience
  • Prior Management or Supervisory experience with demonstrated leadership ability
  • Must be able to work on multiple tasks simultaneously in a fast paced environment
  • Must have experience in computer data entry in databases, spreadsheets and have the ability to enter data in “real” time quickly and accurately
  • Strong interpersonal skills with the ability to tactfully and diplomatically diffuse contentious situations
  • Ability to recognize and establish priorities
  • Demonstrated ability to provide coaching and progressive performance counseling
  • Strong customer orientation, relationship building, and communication skills
  • Ability to quickly analyze a situation and provide an effective solution
  • High performance team player with a commitment to company values
  • Must possess the ability to exercise good judgment independently
  • Able to work well under pressure
  • Have excellent telephone etiquette and professionalism
  • Able to speak, write, and read English fluently

PREFERRED JOB REQUIREMENTS:

  • 5 years of Purchasing experience
  • Additional education or purchasing certification (CPP / CPPM / CPPC)
  • Bi-lingual in English and Spanish a plus
