Description

CGL Facility Management, LLC provides comprehensive contract facility maintenance services to commercial clients. The Data Clerk will be responsible for providing overall administrative services in support of the maintenance team responsible for providing facility maintenance services for our client. This is a full time position, Monday through Friday.

 

Duties and responsibilities

  • Organizes and maintains general office files in an accurate and timely manner.
  • Organizes and distributes maintenance staff mail.
  • Performs tasks for telephone operation and reception as needed; communicates messages to the maintenance team as necessary.
  • Must provide exemplary customer service to internal and external customers and clients.
  • Inputs and closes work orders for CMMS (Computer Maintenance Management System).
  • Processes vendor and subcontractor invoices for payment.
  • Schedules appointments, meetings, etc.
  • Assists with the on-boarding of new hires.
  • Performs other responsibilities as directed by the Facility Manager.

Qualifications

  • Must have a high school diploma or equivalent GED.
  • Must have at least five years of previous administrative support or office management experience. Previous experience working for mechanical contractors, facility maintenance companies, and/or dispatch experience is highly desirable.
  • Must communicate effectively both orally and in writing.
  • Must be skilled in executing multiple projects, and be able to meet deadlines while handling several priorities.
  • Must be dependable, self-sufficient, and be able to complete job responsibilities with little or no supervision.
  • Must work effectively with others to meet objectives of the maintenance team and client.
  • Must maintain professionalism even during difficult situations.
  • Must be a team player, have strong work ethic, positive attitude, and desire to succeed.
  • Must be able to pass a pre-employment drug test and extensive criminal background checks.
  • Must be computer literate, and be proficient with Microsoft products (Word, Excel, and Outlook).

Working conditions

While performing the duties of this job, the employee must be able to sit for long periods of time, as the work is primarily sedentary. The employee is occasionally exposed to moving mechanical parts, risk of electrical shock, and vibration. The employee is occasionally exposed to fumes or airborne particles; wet and/or humid conditions; toxic or caustic chemicals; and outside weather conditions. The noise level in the work environment is usually moderate.

 Physical requirements

While performing the duties of this job, the employee is regularly required to stand; use hands to finger, handle, or feel; reach with hands and arms; walk, climb, or balance, stoop, kneel, crouch or crawl; and talk and hear. The employee is frequently required to sit. The employee must regularly lift and or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift, push, pull, or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
