Job Scope: The primary purpose of this position is to provide high quality executive administrative support to the President of Jamar and the Chief Operating Officer (COO) of APi Group, while maintaining a high level of confidentiality and professionalism. Produce quality, timely, accurate and consistent work in assigned tasks with a positive demeanor.   

Essential Functions:

    • Conserves time and promotes the corporate image by representing the Executives’ time internally and externally.
    • Exhibit sound judgment and act appropriately and in the best interests of the company at all times, while promoting solid relationships with all internal and external staff.
    • Schedule and maintain calendar and appointments of President and COO as required.
    • Acts as a confidante and confidential advisor to the President.
    • Coordinate travel arrangements, luncheons, conferences, training, etc. for Executives, management and other staff as needed.
    • Create documents, spreadsheets, letters, memos, and presentations as requested.
    • Act as liaison between Executives, Department Managers, employees, customers, vendors and APi Group contacts.
    • Manage confidential projects from start to finish.
    • Oversees company credit card and its monthly reconciliation in an appropriate manner.
    • Handles legal correspondence as requested.
    • Maintain filing system – electronic and hard files as requested.
    • Coordinate manager meetings and other executive or company events as requested. Including technical equipment as required.
    • Coordinate donation and marketing opportunities with President, department managers and Creative Services department as needed.

  • Microsoft Word, PowerPoint, Excel, Outlook Calendar.  Desktop Publishing.

Experience / Requirements 

  • Training in related field acquired through one year of college, technical or business school or equivalent experience.
  • Minimum five years relevant administrative support experience required.
