Job Description:

Provide support to the Department Manager. Daily tasks include answering service calls, dispatching field techs and service orders, billing completed work, and following up with customers. This position requires a highly motivated individual to develop and maintain new and existing customer relationships, as well as monitor the administrative duties of the technicians.

 

Responsibilities:

  • Facilitate high quality communications, both verbal and written between internal and external customers
  • Dispatch service/emergency calls, take messages, handle questions, or redirect as appropriate
  • Schedule all inspections with the appropriate Fire Marshal
  • Assist in generating service schedule look ahead to be verified by the Service Manager
  • Communicate with technicians or sales team to build jobs in Astea
  • Support Department Manager with monthly billing reconciliation and collections
  • Customer follow up on quality of performance
  • Verify job site is ready for the service technicians to perform work
  • Develop a historical log for projects we have completed and respective deficiencies
  • Review technician timecards for payroll weekly
  • Complete special projects for the Department Manager as assigned

 

Qualification/Skills:

  • Prior experience in the construction industry is a plus
  • Prior experience in an administrative and accounting role
  • Excellent skills with Microsoft Office Platforms (Word, Excel, Outlook, etc.)
  • Good written, verbal, interpersonal, and communication skills
  • Willing to call on new customers
  • Strong organizational skills and detail-oriented
  • Self-motivated and ability to work with minimum supervision
  • Assertive personality with a progressive and positive attitude
  • Ability to work as part of a team and prioritize based on what is best for the company
  • Minimum of high school degree or equivalent work experience

 

Pay Range: Pay dependent upon level of experience and education
