ROLE SUMMARY:  Handle all aspects of purchasing for the Service Department. This would include but not limited to preparing quote requests, assisting in product selection, tracking all orders from inception to installation, purchasing requested goods, answering service calls, and inputting orders into company software.  

 

Duties and Responsibilities:

  • Review and process purchase requisitions within established criteria; contact requisitioning party for resolution whenever specifications need clarifying.
  • Develop primary and alternate sources of supply for critical and/or unique items to assure that B & I is protected from the risk of single source vendors.
  • Track all orders from the time of order until picked up by the Service Tech for installation on the corresponding tracking sheet.
  • Update tracking sheet to ensure accuracy and completeness. 
  • Maintain bi-monthly truck stock levels by tracking inventory and replenishing the needed parts.
  • Track bi-monthly physical truck stock counts and make the necessary inventory adjustments.  
  • Support field personnel, inside and outside salespeople with the price and availability information they need to develop cost estimates and bid proposals.
  • Answer incoming service calls for PO.
  • Complete PO’s once invoices have been received.
  • Assist the Service Operations and Purchasing Managers in developing policies and procedures on the types and quantities of materials, supplies and tools to keep in inventory.
  • Assist purchasing manager with miscellaneous tasks as needed.
  • Assist other purchasing agents as needed.
  • Other miscellaneous tasks as assigned.

 

 

Secondary Duties:

  • Assist in making hotel reservations as needed.  

 

Job Qualifications and Skills:

  • Good communication and organizational skills.
  • Minimum 1 year experience in HVAC and/or Refrigeration service or procurement.
  • Proficiency in Microsoft Office Software and Purchasing Software.
  • Desire to learn new things.
