Job Summary

The Project Coordinator is responsible for estimating and project management support for multiple projects. The successful candidate will work closely with the President, Project Manager & Project Foremen and be directly responsible for:

  1. Assist in the preparation of bids by working with Project Manager and President regarding constructability issues.
  2. Assist in the preparation of quantity take-offs for proposals.
  3. Work with Project Manager, President and Project Foremen to arrange and manage company resources on all projects.
  4. Represent company to public/clients at pre-bid meetings and project meetings.
  5. When needed, work at project sites to direct/assist Foremen.
  6. Perform all duties consistent with the Company Mission Statement and the “Kwest Group” philosophy. Maintain a positive attitude and good working relationships with customers, employees, and the public.

 

Responsibilities:

  1. Prepare bids.
    1. Review and understand all plans, specifications, addenda and other bid documents.
    2. Serve as technical/constructability expert during proposal process.
    3. Procure subcontract and material quotes. Review all subcontractors and suppliers quotes to ensure they meet specifications and that Kwest Group has included the full scope of work in the bid.
    4. Prepare a summary of additional project requirements (i.e.: on-site safety representative, drug testing, testing laboratory services, submittals requiring P.E. stamp, waste/borrow agreements, sales tax, special insurance requirements, etc.). Review with the Project Manager and President prior to bid.
    5. Assist Project Manager and President in pricing & final submission of bid documents. Final bid markup must be approved by the President.
    6. Schedule and complete all duties with minimal direct supervision.
    7. Represent company in a professional manner in all instances.
  1. Assist in the preparation and management of projects from award to project close-out.
    1. Attend an in-house pre-job meeting to review the scope of the project. Minimum attendees should include the Project Manager, Estimator, Foreman and President.
    2. Attend a pre-job meeting with the owner as needed. Assist in the preparation of all documents (i.e.: schedule, material source letter, subcontractor letter, haul route request letter, others) and attend the meeting.
    3. During the life of the project maintain original plans & specifications, all revisions to plans & specifications, and distribute revisions to suppliers and subcontractors affected by revisions as needed.
    4. Schedule and complete all duties with minimal direct supervision.
    5. Represent company in a professional manner in all instances.

Qualifications:

  • Work experience as a Project Coordinator or similar role preferred, but not required
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • An ability to read & understand DOT style plans, and specifications.
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Strong technical skills, and working knowledge of Microsoft Office Suite software
  • Prior experience with HCSS, and Primavera is preferred.
  • Bachelor’s in Business Administration or related field is preferred, but not required

 

Authority:

  1. To contact suppliers and subcontractors for quotes.
  2. To request accurate and timely reports from the Project Foremen, suppliers, and subcontractors assigned to all projects.
  3. To act as the company representative to the owner, subcontractors and suppliers during the life of the project under the direction of the President.
  4. To schedule and assist in the management of subcontractors and suppliers.
  5. To assist the Project Foremen with field/labor related issues.
  6. To request assistance from the President.
