The Contact Lens Coordinator is the first point of contact in assisting the Doctors of Optometry and Technicians regarding contact lens ordering through Electronic Health Records and patient phone calls. They are responsible for all Minnesota Eye Consultants locations regarding policies and procedures, returns, receiving orders, ordering contact lenses and accounts payable reconciliation.
Essential Duties and Responsibilities
- Utilize EHR regarding contact lens tasks and provides timely and professional assistance to patients utilizing the central contact lens phone line in an efficient and effective manner.
- Triage patient phone calls regarding contact lens questions and concerns; resolve concerns as directed to achieve patient satisfaction.
- Ensure accurate and timely ordering, order verification, re-ordering, payments, dispensing, invoicing, and returns of contact lenses for all locations.
- Coordinate and accurately document inventory of contact lenses, trials, supplies, in addition to stocking and dispensing of contacts for all Minnesota Eye Consultants locations in accordance with protocol.
- Communicate with patients in a professional and courteous manner; ensure thorough patient education on contact lens policies and procedures.
- Communicate with insurance providers in a professional and courteous manner verifying contact lens benefits when necessary.
- Ensure proper coding technique is used, i.e. proper linking of diagnoses to contact lens orders and/or procedures to follow protocol with billing insurance companies when necessary.
- Participate in regular team meetings and reports progress to ensure effective team and inter-department communications.
- Conduct Insertion and Removal (I&R) training with patients when needed.
- Scan contact lens invoices into EHR weekly.
- Other duties as assigned.
Education and/or Experience
- High school diploma or equivalent.
- Minimum of two years of experience working with contact lenses preferred.
- Strong understanding of contact lenses and ophthalmic terminology.
- Familiarity with EHR systems, internet and Microsoft Outlook.
- Optical experience is highly desirable.
Certification, Licenses and Registration Requirements:
NCLE certification is preferred.
Location/Schedule Details:
This full time position will be based in our Woodbury office but will travel between all locations with hours varying between 7:30am -5:30pm.
