Job Description:

The service dispatcher schedules technician appointments at customer sites and facilitates communication between technicians/plumbers, customers, and the company. This individual interfaces with the accounting and billing departments to ensure accurate payroll and customer billing.

Applicant must have a minimum of two years dispatching experience in the HVAC or Plumbing industry with responsibilities of 15 or more technicians/plumbers.

 

Responsibilities:

-Maintains the service technicians’ daily schedules and dispatches the technicians as service calls are completed.

-Schedules technician return trips with customers to complete jobs after the parts arrive.

-Maintains the on-call schedule for service technicians and after-hours service procedures, and reviews after-hours reports each day.

-Maintains a customer database with current information using CRM software.

-Provides clear and concise communications with department managers, employees, and company customers, including keeping customers apprised of company schedule and requested lead times.

-Reviews time cards, service tickets, and service reports, matching tickets with service reports for verification of times for payroll and proper billing.

-Provides accounting and billing departments with maintenance contract billing information.

-Enters service calls, schedules calls, and generates call debriefing with technicians on an hourly basis, day-to-day.

-Reviews service tickets to initiate purchase and reception of parts and components in order to re-schedule technician for repair or installation.

-Coordinates the schedule and planning for maintenance, start-up, and warranty service, in cooperation with the service manager or contract administrator by technician category.
