Lenax Construction Services is looking for a Document Control Manager to work within an airport environment.  The Document Control Manager supervises a team of document control technicians; and partners with the Office Engineers and Project Managers. The Document Control Manager is responsible for: establishing a procedural framework for collecting the controlled documents, including developing and/or enhancing document controls procedures and tools; managing and enforcing the collection, distribution and filing of controlled documents, including being watchful of documents moving in and through the organization to validate correct processing and recording, reviewing the BOAC calendars and internal meeting calendars to capture presentation material, and conducting periodic “spot audits” or “over-the-shoulder-reviews” of a functional group’s document control; and for providing document control training to seek collaboration and cooperation of the functional groups.

Job Duties:

The Document Control Manager duties include, but are not limited to, the following.

  • Establishing a procedural framework for identifying, collecting, distributing and filing the controlled documents for the Program.  This involves writing and maintaining document control procedures and participating in the development and roll-out of document control tools, such as scanning hardware, computer software, etc. 
  • Ensure the information and management control system is implemented in compliance with the Client’s standard; and is updated to reflect revisions to those standards.  Maintain awareness of new Client and/or Program initiatives that may impact the control or distribution of information on the project. 
  • Ensure the Project Team members are provided with adequate training and support to enable them to successfully use the procedure and systems in use by the Program.  Proactively conduct “spot audits” and “over-the-shoulder-reviews” of Project Teams to facilitate their understanding of and enhance their compliance to Document Controls procedures.
  • Managing a group of Document Control Technicians.
  • Provide Quality Assurance / Quality Control (QA/QC) audits of the hardcopy Document Control files and the Prolog electronic Document Control files.
  • Assists with policy discussions, including e-mail recording and retention, video recording and retention, etc.
  • Provide an interface to IT Support for Document Control issues, which include process enhancements to existing software, developing recommendations for new hardware and/or software that may benefit the Document Control environment.  In general, identify trends and recommend “best practices.”
  • Maintain a watchful and alert attitude toward Document Control, including inserting the Document Control Technicians into Project Team meetings, developing routine reports and metrics to gauge a Project Team’s success (e.g. the RFI response chart), and in general being eager and energetic towards establishing and maintaining control.

Job Qualifications:

  • Previous experience managing a Document Control effort for a large-scale, billion dollar construction project required.  Experience on a large-scale, billion dollar public-sector construction project highly desirable.
  • Must be a self-starter attitude with proactive, results-oriented focus; and willing and capable to assume additional responsibilities.
  • Prior demonstrated experience managing a group of five or more Document Control Technicians.
  • Proven accuracy, reliability and completeness in job accomplishment.
  • Demonstrated success on the job, as evidenced by satis­factory performance, acceptance of responsibility and growth in previous positions.
  • Effective oral and written communication skills.
  • Must be able to interface with a variety of people with different technical levels and educational backgrounds; must be detail-oriented and highly organized; and must be able to produce accurate and timely results while maintaining a customer-service attitude.
  • Must instill a “can-do” spirit within the Document Control Technician staff: inspiring them to produce consistently accurate results at a fast pace.
  • Must be able to occasionally wrap, lift and move boxes/packages of up to 40-pounds.

MANDATORY / SPECIAL REQUIREMENTS

  • A four-year degree is preferred, however a two-year technical degree augmented with courses and/or seminars in engineering change control, change requests, contract administration, project management, is acceptable.
  • Ten years of document control experience, with at least five-years supporting an engineering and construction project, preferably in the public-sector.
  • Experience with Microsoft Office Suite of software is required. 
  • Experience with Adobe Acrobat is required.
  • Experience with large-scale Document Control Software is required, Prolog and/or Documentum highly desirable.
  • Demonstrated experience with routine Document Control hardware and software, such as scanners, optical character recognition.
