Summary
The Benefits Coordinator is responsible for providing benefits processing, reporting, auditing and customer service support in benefits administration. This position is a part of the larger Human Resources team and will have deep exposure to all aspects of HR/Benefits shared service operations serving over 3,000 employees.
Essential Functions
- Serve as front line day to day contact for benefits programs
- Serve as day to day point of contact for employee benefit questions/issues and contact for external vendors and carriers
- Provide customer service support to employees, internal and external business partners via email, phone, and in-person about group health and welfare plans, wellness program and retirement plans
- Perform data entry for all benefits-related activities, including enrollments and changes into JD Edwards Payroll/HR information system and carrier websites
- Maintain employee benefit records in JD Edwards/Payroll/HR system
- Process manual weekly and biweekly payroll benefit deductions and accruals
- Resolve and follow up on benefits deduction interface issues
- Manage and respond to inquiries in the benefits email box
- Provide information and options to employees undergoing life event changes that impact their benefit elections
- Process leave of absence requests and payroll change forms
- Work with Leave Administrator regarding employee information, status updates on approval/denial. Accurately tracks all leaves (including but not limited to Short and Long-Term Disability, Family Medical Leave, etc.) and distributes time-sensitive notices and correspondence to Benefits Manager, Payroll and HR Business Partners.
- Ensure timely and accurate transfer of information to and from Third Party Administrator(s)
- Process premiums, invoices and all other benefit-related expenses. Audits employee contributions and related payroll deductions, identifies and corrects discrepancies. Codes and prepares incoming checks, invoices, check requests, and wire/ACH payments.
- Work with internal and external vendors to ensure accurate data integrity
- Distribute employee benefit communications, including open enrollment materials, Intranet postings, and letters to carriers/participants, etc., ensuring that all benefits are effectively communicated to employees.
- Process Medical Support Orders, Qualified Domestic Relationship Orders, Medicare Form/Notices and other verification of benefit plan requests
- Assist with annual benefits Open Enrollment process
- Organize department meetings and manage department calendar
- Maintain all legal benefit files and documents in filing system of record
- Other duties as assigned by Senior Benefits Manager or Benefits Leadership Team
Minimum Requirements
- Bachelor’s degree in Business, Human Resources, or related degree and 3+ years of benefits administration or human resource work experience OR
- An associate degree in human resources or closely related field with 3+ years of related work experience OR any appropriate combination of education and experience
- Experience in processing enrollment and eligibility records
- Ability to research and analyze deduction and pay type information
- Ability to understand transactional work flows and payroll interface files
- Microsoft applications (Outlook, Word, Excel, Access, and PowerPoint)
- Knowledge of Payroll and Human Resource Management Systems
