Special Events Coordinator

The Special Events Coordinator is responsible for every aspect of GLHF signature fundraising events. Our coordinator will manage fundraising goals and budgets, meeting them through participant recruitment and cultivation, secured sponsorship and creating an excellent attendee experience. S/he works closely with the Director of Philanthropy, Executive Director, the Development /Communications Committee, and special event committees, as well as with Board of Directors and other staff as needed to enhance events and increase fundraising through volunteerism, sponsorship and community connections. 

 

DUTIES AND RESPONSIBILITIES:

  • Implement all GLHF events, meeting participation and revenue goals while managing expenses including:
    • Unite for Bleeding Disorders Walk
    • Milwaukee's Best Bloody
    • Madison’s Best Bloody
  • Research, solicit and sign new corporate sponsorships for events and programs while maintaining established relationships
  • Facilitate all special event committee meetings including recruitment of committee members, delegation to and management of volunteers
  • Responsible for social media, email and marketing campaigns for special events
  • Manage participant solicitation and cultivation
  • Volunteer management; outreach, recruitment, training, supervision and tracking of all fundraising volunteers.
  • Attain and maintain proficiency in Donor Perfect database. Work collaboratively with the Director of Philanthropy to manage and mine database.
  • Recruit, train and supervise seasonal interns, database and mailing volunteers.
  • Maintain compliance with all local, state and federal laws that apply to special events (i.e. raffle permit).
  • Partner with Special Events Coordinator to secure financial sponsorship of events and client programs and provide support, professional expertise, and creativity to enhance fundraising efforts and guest experience
  • Work collaboratively with the Director of Philanthropy to promote, seek and manage third party events
  • Serve as an active member of the staff team, attending all organizational events and some major programs to execute sponsorships,  meet clients and donors and assist with event execution
  • Be open to and seek out new opportunities to build community awareness.
  • Represent the Foundation within the community on matters related to Foundation programs, philanthropy, volunteerism, special event programming, promotional efforts and other non-medical topics as deemed

 

SKILLS AND ABILITIES:

  • Passion for non-profit work
  • Energetic, self-motivated, flexible and adaptable with a sense of humor
  • Knowledge of basic principles of budgeting
  • Team player and leader
  • Clear and concise verbal and written skills
  • Knowledge and experience with Microsoft Office required and proficiency in InDesign, Canva or other design software helpful
  • Excellent interpersonal skills with the ability to effectively build and manage relationships
  • Outstanding organizational and presentation skills
  • Strong, positive customer service orientation and excellent follow-through skills
  • Experience working in a fast-paced environment, managing multiple projects, prioritizing and meeting deadlines
  • Willingness and availability to work a schedule that includes some evenings and weekends
  • Calm under pressure, quick decision making in a crisis
  • Strong negotiation and problem solving skills

 

WORKING CONDITIONS:

 

  • Travel throughout the state including Milwaukee and Madison metro areas to produce special events, meet with potential donors/sponsors, attend meetings and participate on committees
  • Public speaking required to communicate event details and GLHF financial needs to the bleeding community, event participants, and volunteers.
  • Frequent nights and weekends required to execute meetings and special events as well as serve as a member of the staff team by attending programs.

 

QUALIFICATIONS

  • Bachelor’s degree or related degree preferred
  • 2-3 years planning large-scale fundraising events

 

OTHER REQUIREMENTS

  • Valid driver’s license, personal vehicle and current auto insurance
  • Ability to work occasional nights and weekends, as needed, including but not limited to:
    • Milwaukee’s Best Bloody (Sunday in February)
    • Madison’s Best Bloody (Sunday in May)
    • Unite for Bleeding Disorders Walk (Saturday in September)
    • Wisconsin Bleeding Disorders Conference (Weekend commitment in June )
    • Two to three key programs throughout the year (one day commitments on evenings or weekends)
