We are looking for a ROCKSTAR Billing Clerk to join our team! Our customers appreciate having a highly responsive, skilled, and professional contractor that they can entrust with projects; and we at Portland Mechanical Contractors (PMC Group) take that trust very seriously.
Primary Responsibilities:
This position performs a variety of duties involved in the billing and invoicing of customers. This position reports to the Office Manager and is FLSA Non-Exempt.
- Responsible for compiling and entering data from work orders and accompanying documents, including truck charges, equipment charges, pricing schedules and customer records.
- Prepares invoices specifying labor performed, materials purchased, equipment used, amounts due and terms. Uses a variety of online customer billing portals, as necessary, ensuring compliance, timeliness and accuracy.
- S/he is primary receptionist/front desk daily backup for lunches, breaks and vacations.

Accountabilities:
- Review completed work orders
- Prepare and review billing proofs, making necessary corrections
- Prepare and submit final invoicing for customers
- Document and process customer payments
- Provide general billing information to customers, respond to inquiries via phone, email, etc.
- Monitor customer websites for billing action items
- Communicate regularly with managers and dispatchers to resolve billing and work order issues
- Filing
- Daily coverage for the front desk/receptionist breaks
- Occasional collection responsibilities for past due accounts
- Projects and additional duties as assigned
Requirements:
- High school diploma required
- Billing experience and/or construction accounting preferred
- Experience in a fast-paced office environment – 2+ years
- Customer service experience – 2+ years
- Multi-line phone experience preferred
- Flexibility – able to adapt procedures to accommodate various departments, etc.
- Excellent written and verbal communication skills

- Average computer knowledge and skills; Microsoft office suite, Sage/Timberline a plus

Physical Requirements:
- Frequent use of a computer, eye-hand coordination
- Largely sedentary role, however some filing is required
- Sitting for long periods of time, with standing work station as an option
- Ability to lift files, open filing cabinets and bending or standing on a stool as necessary
Work Environment:
- Work performed in a shared, collaborative office environment, managing frequent distractions
Supervision:
- This position has no Supervisory responsibility.
- This position receives Supervision depending upon the assignment; In some cases, the supervisor outlines steps involved in completing assignments or standard procedures are available to enable the employee to work in a routine fashion
- This work is routinely monitored. The end results of this work are checked
