Position is Located in Stillwater, OK

Purpose of the Job

The bookkeeper will work within a multi-role environment together with Accounting, Human Resources, Administration, and Purchasing and will be requested to support these multi-functional areas with an emphasis on bookkeeping.  The bookkeeper performs accounting duties such as coding, recording, posting, and processing day-to-day transactions, as well as maintaining the financial records of the company. Processes one or more of accounts receivable and accounts payable. Essential Job Responsibilities:

  1. Code source documents such as invoices and receipts to the appropriate accounts in accordance to the Purchase Orders and/ Or due dates to ensure maximum data accuracy within the accounting system.
  2. Accounts Payable:
    1. Enter invoices into the ERP/ accounting system and process checks for payment.
    2. Reconcile the A/P account and follow up on payment inquiries. Ensure payment of approved invoices only.
    3. Upload A/P invoices into SharePoint for proper approval.
  3. Accounts Receivable:
    1. Prepare and issue invoices and follow up on late accounts in accordance with established procedures. Reconcile A/R accounts to ensure correct follow up on outstanding payments.
  4. Maintains bank account records; reconcile company bank accounts and balance chequebooks. Prepare bank deposits and handle wire transfers in accordance to payment terms identified in the system.
  5. Prepare various accounting summaries and reports. Compile, maintain and produce statistics and reports of accounts as required.
  6. Follow up to resolve errors and discrepancy in accordance with established procedures.
  7. Assist the Financial Controller in the preparation for audit and the production of financial statements, budgets and other financial reports by performing such duties as providing related documentation, preparing various accounting summaries and reports, and compiling statistics.
  8. Maintain an accurate filing system for the accounting department, archiving documents and retrieving documents from the archive as necessary.
  9. Any other tasks assigned

Required Qualifications and Skills:

Education : High School Diploma or equivalent, plus a minimum of post-secondary courses of two (2) years in areas such as bookkeeping or accounting or equivalent combination of education training and experience.

 

Skills / Experience :

  •  At least two (2) years recent related experience, or an equivalent combination of education, training and experience
  • Working knowledge of ERP & accounting systems, Mapics & QuickBooks experience a plus
  • Proven proficiency with Microsoft Office suite, in particular Excel
  • Accurate Data entry skills with strong attention to detail
  • Must be eligible/authorized to work in the United States, currently and in the future.
