Position Title: Accounting Clerk

Reports to: Payroll & AP Leads

Position Type: Full Time 

An Accounting Clerk will primarily focus on payroll, accounts payable and other accounting functions while working under the guidance of the Payroll Lead and Accounts Payable Lead. This is a multi-company culture with various tight deadlines.   A “can-do” attitude, strong attention to detail, flexible in learning and working in various software, and the ability to consistently meet weekly and monthly deadlines.  Work in professional environment, which demonstrates care and cooperation to internal and external customers is key to success in this role.

 

 

 

Functions / Duties

Payroll Duties:

  • Perform all data entry of time sheets for all employees both union and non-union.
  • Review time card entry for accuracy and completeness of payroll hours, PTO and holiday pay.
  • Ensure compliance with governmental laws on payroll accounting and taxes.
  • Responsible for entering re-class entries and expense reports, ensuring appropriate backup and approvals are received.
  • Prepare and record weekly payroll journal entries, including proper cost assignment by job or department.
  • Maintain the highest level of confidentiality and professionalism while working with sensitive payroll related information.
  • Must demonstrate excellent self-control when under time restricted work processes; thus maintaining a clear focus on objective rather than the current challenges.

Accounts Payable Duties:

  • Scan and process invoices/pay applications within the document management program, invoices are received electronically and by mail.
  • Verify information entered from invoice prior to routing to the appropriate job or department approver.
  • Perform a quality review of invoices prior to batch posting.
  • Process weekly check runs along with any special check requests.
  • Research and reconcile vendor statements.
  • Complete, submit and maintain all credit applications.
 

 

Knowledge / Skills / Abilities / Qualifications / Experience
  • 2 years of payroll experience in the construction field or other costing / manufacturing environment is a plus.
  • Intermediate skills in Excel/Outlook, and proficient in all other Microsoft Office products.
  • Excellent interpersonal, communication, and organizational skills are essential.

 

Physical Demands

The following are some of the physical demands commonly associated with this position:

  • Spends approximately 70% of the time sitting, and 30% of the time either standing or walking while on the job.
  • Occasionally* lifts up to 15 lbs, when moving project binders, office supplies or files, and may stoop, kneel, crouch, and balance while performing these same functions.
  • Occasionally required to climb, crawl, stoop and negotiate ladders, stairs or other routes at and within project sites in order to fulfill duties.
  • Constantly uses verbal and auditory capacity enabling interpersonal communication as well as communication through automated devices such as E-Mail, telephone and radio.
  • Constantly employs eye, hand and finger coordination enabling the use of office machinery such as computer keyboard.
  • Constantly utilizes full scope of visual capacity to travel to project sites and observe/verify project progress in addition to operating automated office equipment.
