Mennonite Village is a not-for-profit, equal opportunity employer, CCRC (Continuing Care Retirement Community) facility that provides 24 hours/7 days a week care located in Albany Oregon. We are currently hiring a Weekend Receptionist for our Quail Run Assisted Living Facility which cares for aging persons with varying levels of physical, social and mental capabilities. Our Receptionist is responsible for the activity of a multi-line phone system while greeting visitors and callers in a professional, pleasant and courteous manner. This position will also provide basic information about Quail Run Assisted Living and conduct tours as needed. Additional administrative duties may be assigned as well as assisting with resident activities.

 Essential Functions:

  1. Opens and closes the receptionist desk and business office on the weekends.
  2. Answers and routes all incoming telephone calls, taking accurate messages and/or directing the call to voice mail. 
  3. Promotes a positive image of the community while greeting all visitors entering facility in a courteous, warm and professional manner. May provide drinks and other comfort amenities as appropriate while visitors wait. Ensures that guests sign in and directs them to the correct resident’s apartment, or escorts them to the apartment.
  4. May answer general questions regarding the community to potential residents and families as well as provide them with brochures and a tour of Quail Run. Ensures proper documentation is completed during or after the tour and given to the Resident Services & Marketing Coordinator.
  5. Delivers newspapers & packages; waters plants, straightens office & lobby areas, as well as restrooms.
  6. Assist with weekend activities as necessary.
  7. May routinely perform basic typing, filing and clerical work as requested.
  8. Responds appropriately to resident emergencies by calling or contacting appropriate staff as well as families or third parties.
  9. Maintains confidentiality and discretion when dealing with sensitive information (business, resident, employee, medical records etc.).
  10. Responds to resident request for Personal Incidental Funds (PIF), and records money dispersed.
  11. Reconciles gift shop sales and cash box if gift shop opens on the weekend.
  12. Maintains residents check in / out clipboard.
  13. Uses computer to submit maintenance work order requests, calls on call maintenance technician if needed.
  14. Follows procedures for emergency situations, including calls from elevator and fire alarms.
  15. Coordinates pick-up for the residents to help ensure they are ready and waiting in the lobby.
  16. Regular attendance and punctuality is an essential function of the job.
  17. Abide by the standards and procedures of the Mennonite Village Compliance and Privacy Program and Values and Expectations Statement.
  18. Abides by the HIPAA policies and reports to a supervisor, breaches (or violations) of our HIPAA policies.
  19. Immediately reports identified hazards or hazardous conditions to a supervisor.
  20. Immediately reports adverse events and near misses to a supervisor.
  21. Attends mandatory training on HIPPA and compliance annually.

Qualifications:

  • Supportive of the Mennonite Village philosophy.
  • One year of receptionist or related office experience preferred.
  • Demonstrates ability to operate multi-line phone system and multiple computer systems. 
  • Proficient in Microsoft Office and Outlook.
  • Accurate clerical skills in typing/word processing, filing, and operating office equipment.
  • Must possess strong organizational skills.
  • Must possess strong leadership & team building skills.
  • Ability to work with and communicate with the elderly.
  • Must possess sight and hearing senses within normal limits.
  • Must be able to use good body mechanics to move safely during the day, including moderate  lifting (up to 25 pounds) carrying, bending, stooping and kneeling
  • Ability to act independently under general guidelines and prioritize workload and handle frequent interruptions.
  • Capable of maintaining confidentiality of information at all times.
