Romanoff Heating and Cooling - Raleigh is seeking an experienced and professional HVAC Service Coordinator to setup and manage the daily service, installation, and pm scheduling for a well-established Residential and Commercial HVAC company. The candidate should be customer-focused, highly organized, energetic, and driven to succeed. This position requires you to be well-versed in HVAC terminology and have proven experience with service dispatch software, PM contracts (residential and commercial), parts and warranty processing, billing and invoicing, replacement sales and installation processes including setting up job packets, rebates, financing, and permitting.
Pay range ($15-$16/hr)
Position Responsibilities:
- Answer all incoming calls and email inquiries from customers in a caring, understanding, and helpful manner.
- Schedule all service requests from customers and dispatch to the service technicians in the field.
- Management of a multiple service technician dispatch board including daily confirmation of next day’s calls.
- Coordinating daily replacements and new installations including job packets, permits and invoicing.
- Respond to all online service and quote requests including emails and vendor portals.
- Communicate concisely and effectively with customers, managers, co-workers, vendors, and other departments to ensure a seamless operation.
- Document and follow-up in a timely manner to ensure all service requests, inquires, questions, concerns or other issues have been completed and/or resolved.
- Manage the residential and commercial PM programs by answering customer questions about the PM services, scheduling the services, coordinating the renewals, billing and receiving payments.
- Assist the service manager and service techs with repair quotes, parts procurement and warranty filings.
- Assist retail sales team with appointment scheduling, job packets, invoicing, permitting and inspections.
- Setup an organized filing system for customers and vendors.
- Collaborate closely with RNC warranty/startup to ensure an exceptional customer experience and to successfully convert customers from RNC to Retail during the first year warranty period.
- Complete weekly and monthly sales reports and use them to verify the monthly billing report accuracy.
- Update the Retail Services Manager of daily and monthly service and AOR sales as compared to plan.
- Oversee accounts receivables and maintain past due accounts to a maximum of 31- 60 days past due.
- Must be an outgoing team player and able to work well within a collaborative environment.
- Participate in all weekly service, installation and sales meetings.
- Be willing to work extended hours during the peak seasons and work from home during inclement weather.
- Any other administrative duties assigned by the Retail Services Manager.
- Daily work hours 7:30 to 4:30 M-F and business casual attire required.
Minimum Experience and Qualifications:
- High School Diploma or GED Equivalent
- 1-2 Years of relevant HVAC Service Dispatch, Installation, and Administrative experience
- Prior experience with a service management software system
- Experience with Microsoft Suite - Word, Excel and Power Point is a must
- Must have a professional appearance, customer service orientated demeanor and phone manner
- Must be able to communicate effectively, clearly and concisely
- Must be an outgoing team player and able to work well within a collaborative environment
- Must have experience with local municipalities’ permitting and inspections processes
- Must pass a background check and drug screening
Preferred Experience and Qualifications:
- 2 or 4 Year Degree preferred
- 3-5 years’ experience in an HVAC Service Dispatch or administrative position
- Experience with Sage Timberline and Sage Service Management is a plus
- Experience with marketing and social media is a plus
