Title: Distribution Operations Administrator

Reports to: VP Operations 

Hours: 10:00am - 7:00pm

Job purpose:  To support the Billing, Receiving, Operations and Inventory departments while also providing support to the other functions of the Distribution Center.  This will contribute to ABCO’s mission of exceeding customers’ highest expectations by:

  • Working to ensure that ABCO’s Billing and Receiving functions are being performed in an accurate and timely manner
  • Helping to ensure that ABCO’s inventory is accurate and up to date, ultimately ensuring that up-to-date inventory and product information is available for customers.
  • Providing support to the Distribution Center, including fielding customer phone calls and inquiries in a professional and courteous manner, as well as communicating any potential issues to the appropriate personnel in order to maintain ABCO’s high level of customer service.

Key responsibilities and accountabilities:

  • Billing and Receiving
    • Maintains understanding of functionality in SXE in order to perform billing and receiving functions on the computer, including:
      • billing; freights, direct orders, DOWT’s
      • receiving; POs and PORMs
      • shipping (branch transfers & vendor returns)
    • Researches and addresses back orders in SXE
    • On a weekly basis, reviews open orders and works with branch teams to determine status of orders, ensuring proper and timely billing reconciliation
    • During yearend, works directly with inventory department to coordinate counts, postings, and research functions
  • Operations and Inventory Department Support
    • Researches and addresses back orders in SXE
    • Addresses open orders and transfers
    • Researches variances during the Spring and Year End Inventory
    • Summarizes and files inventory research results
    • Ensures that necessary stock checks are performed, by either performing them on his or her own, or by assigning others to complete them when appropriate
    • Performs data entry relating to physical counts during Spring and Year End Inventory, special projects, and as directed
    • Posts scheduled cycle counts
  • Distribution Center Support
    • Maintains and organizes all branch files, folders, and paperwork
    • Answers the Distribution Center telephone and greets customers in a professional and courteous manner
      • Follows script for proper handling of telephone calls
      • Distributes incoming calls to DC staff and monitors line to ensure call is answered in a timely manner
    • Communicates all backorders or customer related issues to the appropriate team members in a timely manner
    • Assists Transportation Manager with additional activities, as assigned, including:
      • Receiving functions
      • Shipping functions such as branch transfers and vendor returns
      • Data entry
  • Position Knowledge and Training
    • Maintains thorough and up-to-date knowledge and understanding of SxE functionality for day-to-day functions of the Distribution Center, especially transfers, direct orders, and inventory movement
    • Attends all mandated company training programs as directed
    • Attends safety meetings and training programs as directed
    • Attends training to addresses communications such as email, documentation, and telephone etiquette, on a yearly basis
