The primary function of Maintenance Planner/Scheduler provides a key link in the Work Management process, being responsible for the proactive portion of maintenance activities.   The Planner is expected to identify, plan and coordinate activities that will be performed in the future, not day-to-day activities.  

Essential Duties and Responsibilities:

  • Analyze electronic work requests.
  • Input/Generate work orders.
  • Identify and develop job steps.
  • Engineering/contractor support.
  • Identify resource requirements.
  • Ability to manage technical info/sketches/drawings.
  • Input job plan to CMMS.
  • All special requirements/documentation.
  • Craft job/safety instructions.
  • Perform pre-job/ post-job safety check.
  • Issue and allocate special tools and equipment for planned work – owned/purchased/rented.
  • Stock – input and inventory stock number and quantity.
  • Input NS (Non-Stock)/item number, descriptions and quantities (Include Req# / PO# in work package and delivery location/stage (Kit).
  • Initiate store order for contractor services.
  • Labor estimate – Number of craftsmen and estimated man-hours.
  • Insure job instructions clearly articulate the required safety procedures, PPE and tools for the planned work.
  • Coordinates 3rd party non-emergency repairs with vendors.
  • Secures estimates for 3rd party non-emergency repairs.

Job Knowledge, Skills and Abilities:

Interpersonal Relationships:

  • Work closely with Shop Supervisor, Parts Manager as peers.
  • Provides input to Supervisor for ordering unanticipated materials. (Note: Under no circumstance will Planner order or expedite unanticipated/emergency materials).
  • Communicate support and resource requirements to Operations, Engineering, Contractors, Contractor Administrator and Materials Procurement.

 CMMS Management:

  • Ensure the quality of the data.
  • Review of other input to maintain quality.
  • Periodic review and update of information contained in the data base.
  • Ensure all work order inputs contain estimated hours.
  • Support PM Program.
  • For scheduled WO’s, enter last day of work week date in “Scheduled Start Date” field. 

Planning Work Activities:

  • Safety Meetings.
  • Daily Planning activities.
  • Estimates of material, labor, permits and equipment availability.
  • External Resources for non-emergency activity.
  • Special tooling and equipment.
  • Special instructions.
  • Responsible for planning backlog and weekly Scheduling. 

Support the Analysis Process:

  • Ensure completed data on work orders is accurate and up-to-date.
  • Recommend changes and modifications to equipment and procedures that will result in improved performance and reliability.

Education and Experience:

  • High school diploma or equivalent and at least five years experience in construction, maintenance, or related field.
  • Must be a strong team player, able to work effectively with a variety of people, personalities, skills and organizational levels.
  • Strong written and communication skills.
  • Effective interpersonal and communication skills.
  • Required Microsoft Excel, Word and Outlook skills.
  • Experience and training with TPR (Total Process Reliability) a Plus.

Supervisory Responsibilities:

  • None.

Work Environment/Physical Demands:

  • Regularly required to stand, sit and move about work sites.
  • Regularly required to drive to various job sites, which can include climbing on/off equipment, ladders, etc.
  • Ability to work with computer equipment and office equipment.
  • Ability to lift objects up to 50 lbs.
  • Travel as required.
