We are looking for an enthusiastic and motivated individual to join our Finance team.  This is a unique hybrid opportunity for someone who is looking for tremendous exposure in the areas of both Human Resources and Finance.  The role will report to the Accounting Manager and the CFO.  Training and mentorship will be provided.

HR & Finance Assistant

Job Summary:

The HR / Finance Assistant will be responsible for HR Administration in the Human Resource Information System (HRIS), assist with administration of employee benefits (medical, dental, vision, transit, FSA, DCA, Life, Disability), administer payroll and liaise with the payroll provider, Accounts Receivable, Vendor Accounts Payable and Employee Expenses.  This role will report to the Accounting Manager.

Anticipated Salary Range: $45,000 – 60,000 dependent on level of experience.

Supervisory Responsibilities: ·    None.

Duties/Responsibilities:

Human Resources Admin & Payroll – 50%  

Payroll

  • Administer bi-weekly payroll through Paychex Flex
  • Monitor Vacation, sick leave, Short Term Disability, FMLA, and other Leave of Absences
  • In conjunction with CFO, monitor employee tax and wage deductions in 3 states NJ, NY, PA
  • Ensure Section 125 compliance in all payroll deductions
  • Coordinate with Merrill Lynch for 401K deductions

 Employee Record Maintenance

  • Maintain accurate and timely employee records including updates and changes such as address, cost rate change, title & position, Tax information, etc., into Paychex, Deltek and HRIS.

Orientation, On Boarding, Employee Separation

  • Assist with onboarding new hires including collection of employee personal data, compliance documentation and set up in HRIS, Payroll & Deltek
  • Prepares employee separation notices and related documentation
  • Terminate employees in all applicable systems (HRIS, Paychex, Deltek)

Benefits

  • Assist with sourcing benefit options prior to open enrollment and the administration of Fall open enrollment
  • Investigate workman’s compensation claims, prepare reports for insurance carriers, assist with workers comp audit.
  • Assist with payment and reconcile benefit Invoices (Guardian, Oxford, Aflac) monthly
  • Manage vacation accrual, sick and safe leave accrual and cross check between HRIS and Deltek

 

Accounting – AP / General Accounting / Cash deposits – 50%

Accounts Receivable / Accounts Payable / Cash Management / Employee Expenses

  • Develop and maintain relationships with clients AP departments and follow up on AR on weekly basis
  • Effectively manage select vendor payments processed through Deltek Vision to ensure timely payment and accurate account allocation.
  • Actively manage monthly employee cash expenses, ensure appropriate receipts back up provided and exercise due diligence in applying all payments.
  • Record all ACH payments.
  • Record all cash deposits.
  • Monthly reconcile the AP sub ledger to General Ledger
  • Ad hoc payment analysis as requested

 Other Accounting

  • Process month end / Year end Journal Entries as provided by Accounting Manager
  • Process entries related to HR & benefits for Flex Spending Accounts, Quarterly tax installments, Cobra

Required Skills/Abilities

  • This is very much a hybrid role with opportunity for growth and exposure to both HR and accounting and a chance to bridge the gap between these vital areas of the business.
  • This candidate needs to demonstrate an eagerness to learn new systems
  • Excellent organizational skills and attention to detail
  • Keen ability to manage time and competing priorities
  • Analytical and problem-solving skills essential to this role
  • Strong Communication Skills both verbal and written
  • Must be reliable and extremely trustworthy, access to sensitive information
  • Must be proficient in Microsoft Office Suite or related programs (Office 365, Word, Excel & Powerpoint), there will be a considerable amount of excel, comfortable in sorting, summing, v-lookups.
  • Must be able to adapt to new systems, Deltek Vision & Birddog / Arcoro HRIS software
  • Ability to maintain confidential and meticulous records.
  • Works well in a team environment

Education and Experience:

  • College diploma required
  • HR and /or business or Accounting background preferred.
  • Deltek vision experience preferred, but not essential
  • Birddog / Arcoro HRIS experience preferred, but not essential
  • Payroll experience preferred, but not essential
