Asplundh Tree Expert, LLC is looking for an Executive Assistant.

POSITION SUMMARY

The Executive Assistant provides high-level administrative support to company executives by conducting research, handling information requests, and performing highly visible and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings or events for executives. This is not an entry-level position.

This role is a dedicated Administrative Professional resource to the Executive Support Group. The information on this job description has been designed to indicate the general nature and level of work performed by employees in this position.  It is not a comprehensive inventory of all duties, responsibilities, and qualifications required of employees assigned to this job. 

ESSENTIAL FUNCTIONS

  • Maintains professionalism to provides a wide range of complex office administration and support to senior level executives, directors, and managers.
  • Uses discretion and strict confidentiality with all company materials and proprietary information, including appointments, visitor and personnel identification, status, and location.
  • Coordinates complex scheduling and extensive calendar management, as well as content management and information flow to senior executives.
  • Manage all travel and event logistics and services, including technology and equipment needed to run the event, food, beverages, transportation, and lodging.
  • Prepares and maintains comprehensive memoranda, data, lists, and other pertinent information for outside legal counsel, agencies, clients, and preferred vendors.
  • Ensures timely payment, administration, and record-keeping of vendor invoices and company cardholder transactions.
  • Arranges and maintains extensive files for case management or other projects in various stages of development.
  • Performs administrative and office support, such as typing, dictation, spreadsheet creation, faxing, email, and document retention. 
  • Prepares, updates, and maintains standardized correspondence such as agreements, information requests, meeting minutes, and board resolutions.
  • Accountable for shipping and receiving materials via USPS or commercial carriers.
  • Maintains employee files, including timekeeping and PTO/vacation tracking, training qualifications, and participates in the onboarding process of Safety Professionals.

MINIMUM REQUIREMENTS:

  • Five plus years of related experience with proven experience as a Senior-Level Administrative Assistant.
  • Excellent communication and interpersonal skills and the ability to provide information and service to diverse internal and external contacts.
  • Strong organizational, project management and problem-solving skills with strong multi-tasking abilities.
  • Ability to work across teams with a variety of projects and constituencies.
  • Must be proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word) with the aptitude to learn new software systems.
  • Available to work mandatory overtime, as needed.
  • Willingness to travel by using commercial transportation, including airplane and rental cars.
  • Familiarity with OSHA standards a plus, but not required.
