Summary of Position:

This multi-faceted position will provide high-level administrative support by conducting research, preparing reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

 

Essential Duties:

  • Review daily ticket edit to minimize quote and invoicing errors.
  • Make and receive calls to/from customers dealing with billing questions.
  • Make and receive calls to/from scale house operators regarding project setup, getting haul rates, notifying them of new projects, and coordinating deliveries with customers.
  • Research customer account receivables billing/pricing issues and follow up to ensure billing issues are being resolved.
  • Work with customers and the Summit Finance Group on invoice corrections.
  • Assist with the preparation of presentations utilizing Microsoft PowerPoint and Microsoft Excel
  • Prepare reports, memos, letters, and other documents, using Microsoft Word and Microsoft Outlook
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Prepare responses to correspondence containing routine inquiries.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
  • File and retrieve corporate documents, records, and reports.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Attend meetings to record minutes.
  • Manage, schedule, and oversee procedures for offices or organizations.
  • Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors.
  • Compile, transcribe, and distribute minutes of meetings.
  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.

Qualifications:

  • Prefer 2-5 years of related experience, though candidates with less experience will be considered
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills

Skills, Knowledge, and Abilities:

  • Ability and willingness to quickly learn and understand required tasks
  • Effective, professional communication with all organization levels including senior management
  • Ability to handle multiple priorities, analyze and make decisions, and process information in an organized, timely, and accurate manner
  • Proficient computer skills for various software packages including high understanding of office applications, especially Excel
