ESSENTIAL FUNCTIONS
50% Clerical and Administrative Support
- Create, administer, and coordinate changes to utility customer accounts.
- Investigate and address utility customer concerns and prepare work orders.
- Process payments and balance daily deposit.
- File and maintain department files and correspondence in an orderly manner.
- Process and scan documents.
- Receive and account for miscellaneous revenues.
- Compose routine correspondence, reports, and other material.
- Distribute Chamber newcomer packets.
- Cross-train co-workers to ensure consistent service delivery.
25% Receptionist Duties
- Answer incoming calls, gather relevant information, direct calls to appropriate responsible party or department, and communicate messages or issues.
- Answer public inquiries regarding city and department functions and events.
- Greet visitors and provide assistance as needed.
- Receive, sort, and disseminate mail, goods and supplies.
25% Permits and Licensing
- Verify status and coordinate application and renewal of licenses.
- Collect payment for services, licenses, permits, and fees.
- Schedule and log inspection appointments.
- Gather information and assist applicants in the permit application process.
- Process invoices for business registrations.
Continually looks for new and improved ways of completing the above functions. Other tasks as assigned by supervisor will be performed in order to address business needs.
POSITION REQUIREMENTS
Latitude: Most duties are assigned, prioritized, and completed by employee to assure all duties are completed while maintaining excellent customer service. Most problem-solving is accomplished in conjunction with supervisor. Some decisions not affecting other departments may be made independently in accordance with city policy. All purchase requests should be approved by supervisor.
Interaction: Frequent face-to-face interaction with employees throughout the organization and the general public.
Qualifications:
- High School Diploma or equivalent, required.
- Some college, preferred.
- One to three years related office support experience, required.
- One year of receptionist or similar experience, preferred.
- Kansas identification card or a valid driver’s license, required.
Knowledge, Skills, and Abilities:
- Knowledge of business correspondence, filing, typing, organizational skills, and clerical procedures.
- Ability to operate office-related equipment, including ability to access and retrieve information from various computer software programs.
- Ability to meet and deal tactfully with the general public and to communicate effectively and clearly, both orally and in writing.
Work Environment: Office environment. Occasional carrying, lifting, moving, or pushing of 30 pounds. Occasional bending, squatting, and twisting. Frequent use of manual dexterity and visualization of a computer screen throughout the day.
Starting Pay: $14.38 per hour
This position is scheduled mornings, 16-20 hours per week.
