Job Description

 Job Title: Customer Service Representative          

 SUMMARY:

Customer Service Representative interacts with customers to provide information in response to inquiries about products and services.  Customer Service Representative also handles and resolves customer complaints.  CSR also responsible for scheduling, assigning, and dispatching Field Technicians to meet customer requirements.  CSR also administers customer inquiry responses, tracks work issues and parts procurement, and utilizes database technology to generate reports.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned

  • Provides information to customer and makes recommendations as needed

  • Dispatches, schedules and coordinates the work of Field Technicians and/or Installers

  • Prioritizes service calls

  • Receives check-in/check-out calls from field technicians, records work performed and informs workers of next job to respond to

  • Coordinates new equipment start-ups, customer service requests and sales department requests

  • Works with other dispatchers to consistently provide a customer contact for incoming calls

  • Organizes required information and responds to customers in a timely manner

  • Works with concierge customers- delivering white glove service

  • Arranges follow-up calls to ensure complete customer satisfaction

  • Functions as a constant contact between the field and the office

  • Coordinates monthly service contract scheduling and set-up

  • Monitors annual service contract agreements and initiates renewals

  • Keeps managers and supervisors informed in a brief, organized manner

  • Completes daily work tickets, customer request, and inter-department requests

  • Communicates with customers in a friendly, professional and patient manner

  • Participates in weekly on-call rotation, assigns on-call schedule and notifies technicians of their assigned weeks

  • Has knowledge of product lines and services, delivery times, service times, various marketing promotions and similar data as required

  • HVAC Knowledge a plus!
