Geosyntec, a fast-paced and deadline-driven environmental professional services firm is seeking an enthusiastic self-starter to support competitive winning proposal efforts from the premarketing stage through team interviews. This hands-on Proposal Support Coordinator for our San Francisco Bay Area, CA operations, will support our environmental practitioners in developing compliant, comprehensive, and compelling submittals (proposals and opportunity-specific statements of qualifications (SOQs). Utilizing superb writing and organizational skills, you will participate in the Go/No-Go process; and help to manage, schedule, edit, and produce submittals and related sales-support materials; evaluate selection criteria, and develop appropriate response strategies.

ESSENTIAL DUTIES AND RESPONSIBILITIES

This position will primarily focus on performing proposal preparation and marketing and sales support activities including but not limited to the following:

  • Plan, schedule, prepare, edit and coordinate SOQs/proposals, letters of interest, bid packages and responses to inquiries to ensure that all RFQ/RFP criteria are met;
  • Apply RFQ/RFP client instructions and decision/selection criteria in accordance with federal, state, and local laws, regulations and guidelines;
  • Verify compliance with Client’s RFP/RFQ requirements and criteria related to the decision/selection process, fee pricing/budgeting, and other issues; obtain from legal, insurance, and contracts departments required forms, comments, and approvals related to the submittal;
  • Schedule and track individual proposal elements and status to ensure that proposal is sent in accordance with timelines;
  • Provide assistance for research studies of markets, competitors, and/or client prospects;
  • Apply techniques used to validate accuracy of prospect data in the contact management programs and databases; and
  • Perform special market research projects and related work as required.

EDUCATION, QUALIFICATIONS, AND EXPERIENCE 

  • Bachelor’s degree from an accredited college with a major in communications, marketing, English, journalism, psychology, or another applicable discipline (required) and at least 3 years of similar professional experience  (preferred); or any equivalent combination of education, experience, and training that provides the knowledge, skills, and abilities to perform the responsibilities of the position.   • Proven experience assisting with the preparation of qualifications, proposals, presentations, and other marketing materials. (required)
  • Ability to write/rewrite copy for inclusion in correspondence, collateral marketing materials, and presentations conforming to prescribed style and format. (required)
  • Demonstrated writing skills, including the ability to craft a story in a compelling manner. (required)
  • Advanced proficiency in the use of office equipment and the most recent release of MS Office, Adobe Acrobat, InDesign, Photoshop, Illustrator, and database software; and strong graphic design skills. (required)
  • Ability to carry out instructions furnished in written, oral, or diagram form. (required)
  • Ability to handle multiple tasks, maintain constant attention to detail, and be skilled in working both collaboratively and independently to perform effectively under tight deadlines. (required)
  • Excellent organizational, time management, and prioritization skills. (required)
  • Ability to adapt to different communication styles and thrive in a client deadline-driven work environment. (required)
  • Valid U.S. driver’s license and a satisfactory driving record for business travel. (required)
