The Executive Assistant is responsible for providing administrative support to the National Division’s Vice Presidents and Estimating Manager in a timely and professional manner. This position requires strong organization and communication skills as well as a high level of confidentiality.

  • Schedule and maintain calendars, including the coordination of travel.
  • Coordinate internal and external meetings and provide necessary support including, but not limited to, scheduling, meal orders, meeting minutes, and follow up.
  • Complete expense reports and/or credit card reconciliation.
  • Collect and communicate monthly financial reports and metrics.
  • Organization, maintain and retrieve corporate record files and reports.
  • Answer, filter and direct phone calls and visitors as necessary.
  • Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence.
  • Track and provide feedback and recommendations on organizational continuous improvement efforts.
  • Assist with various project management and estimating duties utilizing construction related computer programs.
  • Assist with proposal presentation/documentation requirements.
  • Electronic file management of drawings, specifications, request for quotation from customers onto Hunt’s shared file management system.
  • Other duties as assigned.


  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in Business Administration or related field preferred.
  • 5+ years of proven similar experience directly assisting executive level teams.
  • Must be proficient in Microsoft Office products, intermediate in Excel.
  • Display a high level of confidentiality in all business matters.
  • Ability to work independently as well as in a collaborative team environment.
  • Excellent customer service, written and verbal communication skills.
  • Strong phone contact handling skills and active listening.
  • Self-motivated and able to work in a fast-paced environment with heavy workload.
  • Ability to multitask, prioritize and manage time effectively while staying organized.
  • Ability to meet deadlines and adapt to changes in priorities.

  • This job operates in a professional office environment.
  • This role regularly uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.
  • This position requires the ability to lift files and open file cabinets.
  • Employees are frequently required to sit, stand, and occasionally required to bend, kneel, reach, stoop, or crouch.
  • This position may occasionally lift up to 10 pounds.
