ROLE AND RESPONSIBILITIES
The Executive Assistant is responsible for providing administrative support to the National Division’s Vice Presidents and Estimating Manager in a timely and professional manner. This position requires strong organization and communication skills as well as a high level of confidentiality.
- Schedule and maintain calendars, including the coordination of travel.
- Coordinate internal and external meetings and provide necessary support including, but not limited to, scheduling, meal orders, meeting minutes, and follow up.
- Complete expense reports and/or credit card reconciliation.
- Collect and communicate monthly financial reports and metrics.
- Organization, maintain and retrieve corporate record files and reports.
- Answer, filter and direct phone calls and visitors as necessary.
- Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence.
- Track and provide feedback and recommendations on organizational continuous improvement efforts.
- Assist with various project management and estimating duties utilizing construction related computer programs.
- Assist with proposal presentation/documentation requirements.
- Electronic file management of drawings, specifications, request for quotation from customers onto Hunt’s shared file management system.
- Other duties as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High school diploma or equivalent required.
- Associate or bachelor’s degree in Business Administration or related field preferred.
- 5+ years of proven similar experience directly assisting executive level teams.
- Must be proficient in Microsoft Office products, intermediate in Excel.
- Display a high level of confidentiality in all business matters.
- Ability to work independently as well as in a collaborative team environment.
- Excellent customer service, written and verbal communication skills.
- Strong phone contact handling skills and active listening.
- Self-motivated and able to work in a fast-paced environment with heavy workload.
