POSITION SUMMARY

The Administrative Assistant performs various routine clerical duties to support the organization.

Duties and Responsibilities:

  • Performs clerical duties
  • Operates Office Machines
  • Organize, file, maintain records
  • Update Waste Management log for all open invoices
  • Process monthly equipment allocations for Matrix owned equipment and All State Equipment
  • Post depreciation in Sage for MEI & AEI monthly
  • Process Textura fees in Sage that are debited from PPB General
  • Post all ACH and check deposits in accounting software
  • Cut weekly per diem checks for the field
  • Monthly and weekly reimbursements and allowances – receive approved receipts from employees, compile, code, file receipts and process transactions
  • AMEX Corp card – Enter and pose Credit Card transactions and payments
  • Credit Applications
  • Reconcile all vendor accounts and statements
  • Assists walk in with job applications
  • Dispatch employees from the Union
  • Provide workers with t-shirts as needed
  • Manage employee certifications
  • Assist with airport badging as needed
  • Workman Comp Claims – share with broker and file
  • Receives questions from employees, supervisors, co-workers – answer or refer them to the appropriate staff.
  • Manage WorkMax
  • Create Quarterly Newsletters
  • Track and apply for new business licenses
  • Process all New City Business Licenses and calendar expiration dates a month prior to discuss with Project Managers to see if it needs to be renewed prior to expiration

Required Skills/Abilities:

  • Ability to type at least 45 words per

  • Proficient with Microsoft Office Suite or related

Education and Experience:

  • High school diploma or equivalent
  • Clerical experience

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a
  • Must be able to lift up to 15 pounds at
