Shift: Days, Monday through Friday. Flex available.

Public Transit Administrative Support (Administrative Assistant 2) responsibilities:
Are you interested in public transit and helping people?  We have an opportunity for you at the Iowa DOT!   The Public Transit Administrative Support person prepares and issues public transit funding contracts with Iowa’s 35 designated public transit agencies.   This includes processing payments in DOT’s accounting system and resolving payment questions.   The position also serves as the Iowa DOT’s lead for our fellowship/training program for Iowa’s public transit agencies.   The administrative support person will be involved in special project administrative support and will support training events.   The position will be a key member of the Public Transit Team in the Modal Transportation Bureau.       
 
 Responsibilities of the position:

  • Create original public transit funding agreements, monitor key benchmark dates, process amendments and revisions as necessary.
  • Create vouchers in the department’s online accounting system to process public transit funding reimbursements.
  • Review all contracts for accuracy, completeness, and compliance with federal and state public transit requirements.
  • Accept and review public transit fellowship applications, verify information for accuracy and completeness, send approval notices to those meeting program criteria.  
  • Receive public transit fellowship reimbursement requests, compare to original application, check for federal and/or state program eligibility.
  • Work with public transit team, vendors, and consultants to implement special projects, including, but not limited to, training and technology projects.
  • Provide meeting and training event coordination, setup, and support.
  • Occasional overnight travel.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  1. Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
  2. A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
