JOB SUMMARY:

Reporting to the HR Director, the Lead Payroll Specialist is responsible for the full lifecycle of the payroll process, payroll reports, and employee setup duties working across our three business units. This role will investigate identified issues within the payroll realms and follow through to resolution. The Lead Payroll Specialist will own the payroll function and further develop payroll strategy to ensure effectiveness, process efficiency, and financial improvements.

The ideal candidate will be passionate about supporting our people, have excellent attention to detail, and time management skills. Excellent verbal and written communication skills are key to success in this role.

RESPONSIBILITIES:

Payroll Processing:

  • Processes weekly payroll for Gallo Mechanical Field, Gallo Mechanical Services, and Sheet Metal Systems. (~400-450 total employees)
  • Processes weekly certified payroll.
  • Own paycheck adjustments sheet.
  • Transmit 401(k) contributions (both employee deferrals and employer contributions) to participant accounts through weekly uploads.
  • Analyze, audit, reconcile and resolve payroll processing and employee payroll issues to ensure smooth payroll processing.
  • Ensure accurate calculation of wages, fringes, tax withholdings, garnishments/liens, and company deductions.
  • Generates special "off-cycle" payroll runs for bonus checks and "ad-hoc" payments as required.

Payroll Related Duties (Reporting, Employee Setup, etc.):

  • Be a strong support resource for company team members acting as the key point of contact to resolve issues or questions regarding payroll, HH2 timekeeping system, federal sick pay leave accruals, wage deductions, fringe benefits, and other pay related issues.
  • Own new hire setup in our Vista payroll system and in HH2 time tracking and paystub system – manage setup and changes of all direct deposit, benefit deductions, fringes, cell and vehicle allowances, 401k, and garnishments in Vista.
  • Update employee 401k contributions quarterly in Vista.
  • Handle all required payroll related reports. (Certified payroll, OSHA Manhours Reports (Quarterly for GMS and Annually for Gallo/GMS/SMS)).
  • For Union employees, handle union dues (Local 60 and 247).
  • Garnishments – handle setup in employee’s account, communication to employee, remittance every week, and for terminated employees handle term notice to entity that holds garnishment.
  • Tax remittance twice a week on Monday and Friday.
  • Handle disability payment tax withholding (LTD and STD).
  • Handle setup for new certified payroll jobs and send subs certified payroll to General Contractors.
  • Handle OCIP Reporting (Owner controlled insurance programs) and company set up.

Benefits Administration/Setup:

  • Setup Vista benefit deductions, fringes monthly for new hires before 1st paycheck in the month in which benefits begin.
  • Manage federal paid sick leave – tracking, accrual balances, auditing, and approval of requests.
  • Assist with quarterly and year-end HR/Payroll related activities including, but not limited to benefit enrollment changes during open enrollment, year-end reconciliations and new-year transition (such as setting up 401k and HSA new annual limits).
  • Assist HR team with special tasks or projects, as assigned.

IDEAL EXPERIENCE & QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Business, or a related field of study.
  • 2+ years of experience with full cycle payroll administration.
  • Ability to work independently with a proactive approach to resolving complex payroll issues.
  • High degree of customer service focus experience.
  • Ability to perform under pressure in meeting payroll deadlines.
  • Strong interpersonal and communication skills, including the ability to communicate effectively with all levels of personnel.
  • Tech savvy – Strong software skills/HRIS systems/advanced Excel reporting skills (VLOOKUPs, pivot tables, etc.).
  • Ability to handle confidential information with sensitivity, discretion, and discernment
