Nearly 40% of our employees have been with KBS for more than 10 years! We are seeking a Construction Project Assistant to provide administrative support to the construction project management team. Candidates must have a minimum of three years administrative experience in a general contractor setting or a combination of education and experience to meet job requirements.

Job Responsibilities

  • Prioritizes workflow to manage multiple projects
  • Monitors financial reporting; identifies and reconciles discrepancies
  • Composes/edits all project and outgoing correspondence as directed; logs and monitors project correspondence to the job site; records, distributes, and files all project meeting minutes
  • Identifies and reviews all reporting requirements for the project, as defined by the Contract Documents
  • Establishes and maintains all project files
  • Provides daily administrative support for Project Team
  • Processes, logs, and tracks project submittals
  • Generates and tracks all Client Payment Applications and Change Orders.; procures associated documentation, such as subcontractor back up, material invoices, etc.
  • Manages internal project documentation, including Plans and Specifications; RFI forms and responses; submittals; RFPs; change order and claim proposals; superintendent daily reports; quality control logs; safety inspection reports; etc.
  • Generates subcontract agreements and supplier purchase orders as directed by Project Manager
  • Creates and maintains subcontractor and supplier lists on a per project basis; tracks subcontractor business and contractor licenses, bonds, insurance certificates, etc., as required
  • Manages process of subcontractor payment estimates and change orders, obtains signatures for payment estimates/change orders; facilitates processing through accounting
  • Verifies prompt, accurate subcontractor payments as directed by Project Manager
  • Performs project close-out; compiles closeout documents, including supplier and subcontractor lien releases, As-Built drawings, O & M Manuals and other Owner-required closeout documents in an efficient, thorough and timely manner
  • Archives field project files for completed projects, ensuring orderly storage

Skills and Abilities

  • Ability to prioritize multiple projects and tasks
  • Knowledge of construction industry practices, processes, standards and their impact on project activities
  • Effective written and oral communication skills -- must be able to develop professional written reports and correspondence
  • Computer mastery of Windows-based applications such as Word, Excel, Outlook, and Access
  • Knowledge of Sage/Timberline job cost and project management modules preferred
  • Ability to use iOS apps such as PlanGrid; Raken; BuildUP,Google Teams, etc.
  • Strong working knowledge of office practices, procedures and equipment
