 About the Position

As an Executive Assistant, you will be the presidents’ right hand with all executive administrative support. This is a crucial role that requires exceptional attention to detail, strong communication skills, and the ability to handle multiple tasks efficiently. The ideal candidate will be highly organized, proactive, and able to work in a fast-paced environment and maintain strict confidentially.

 Specific Duties and responsibilities

  • Manage executive calendars, including scheduling appointments and coordinating meetings.
  • Coordinate travel arrangements, including flights, accommodations, and transportation.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Function as a liaison between the executive team and internal/external stakeholders.
  • Screen and direct phone calls and emails, responding or escalating as necessary.
  • Organize and maintain confidential files and documents.
  • Develop and maintain effective relationships with team members and external partners.
  • Collaborate with administrative support team members to align schedules.
  • Processes invoices and prepares expense reports in adherence to company expense policies.
  • Provide administrative support for special projects, events, and initiatives.
  • Proactively anticipate the needs of the executive team and provide support as required.
  • Maintain confidentiality and discretion when dealing with sensitive information.

 Requirements:

  • A minimum of 8 years executive support experience, including supporting C-level executives; experience
  • Bachelor’s degree preferred.
  • Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders.
  • Strong written, verbal, and communications skills, and organizational skills and impeccable attention-to-detail and deadline management is required.
  • Budget development and management.
  • Critical thinking skills and confidence to take initiative and make decisions is required; excellent judgment is essential.
