Highway Administrative Assistant, Clay County, South Dakota
Due to an upcoming retirement, the Clay County Highway Department invites applications for a full-time Administrative Assistant to perform administrative duties as they pertain to planning, direction, coordination and control the of the highway administration. As this is a highly visible position in the county, professional appearance and demeanor is expected. Also, the County Highway Administrative Assistant must maintain positive public relations with the general public and other employees.
Examples of duties include:
- Supports the County Highway Superintendent in the management and day-to-day operations of the Highway Department
- Performs secretarial duties and administrative work of the Highway and Weed Departments
- Assists in completing daily time sheets
- Assists in the development and implantation of department policies and procedures
- Assists in the preparation of department and agency reports, department correspondence and applications
- Assists in developing and monitoring department budget information
- Processes accounts payable, payroll and reports for payment at the Auditor’s Office
- Performs administrative duties as it pertains to department personnel. This includes coordination of work schedules, vacations and sick leave
- Attends ongoing training and safety classes
- Maintains off-system expenditures, reporting requirements and equipment records
- Organizes and maintains an accurate filing and record keeping system
- Professionally answers phone calls, takes messages and performs follow up as needed
- Respectfully answers routine inquires and citizen complaints. Routes these issues and performs follow up as needed
- General janitorial work to keep the office area and conference area clean
- Performs other duties such as bid letting, highway use permits, gasboy, FEMA & inventory
Preferred Qualifications:
Knowledge of:
- The Clay County highway maintenance system and geography
- Acceptable office procedures; skill to operate a personal computer and other office equipment
- State code requirements as related to responsibilities
- Budgetary principles including intermediate mathematical skills
- Must be at least 18 years of age and have High school education or G.E.D.A.
- Must have valid driver’s license
- A.A. degree in business or accounting; or 2 years Administrative Assistant experience with accounting responsibilities preferred; or Combination of related education and experience
- Exceptional communication and organizational skills
- Ability to consistently perform duties with a strong attention to detail and with a high degree of accuracy
- Ability to work independently and with others
- Intermediate computer and project management skills
- Ability to read and understand financial reports
