Administrative Assistant - Police 

Police Department 

Full-time – Non-Exempt

Pay Range: $18.11/hr - $22.56/hr DOQ

The Administrative Assistant provides comprehensive clerical, fleet management, expence/supply management, event support, and accreditation support to the Mount Dora Police Department. The incumbent is responsible for maintaining records, supporting department staff, and ensuring compliance with relevant accreditation standards. Duties are performed under the supervision of the Administrative Services Lieutenant.

Essential Duties:

Clerical Support:

  • Provides clerical assistance, including drafting correspondence, filing, data entry, and preparing reports
  • Manages departmental records, ensuring accurate filing, storage, and retrieval
  • Schedules appointments, arranges meetings, and coordinates events for department staff
  • Handles routine communication with internal staff and external contacts via telephone, email, or in-person
  • Performs other duties as assigned

Fleet Management:

  • Assists with evaluating the need for departmental vehicles and other resources
  • Maintains and updates records of vehicle assignments, usage logs, and maintenance schedules
  • Ensures accurate tracking of vehicle-related expenses and prepares necessary reports

Accreditation:

  • Assists in building and maintaining accreditation files in compliance with law enforcement accreditation standards
  • Tracks and documents compliance with accreditation requirements and prepares supporting documentation
  • Supports the department's ongoing efforts to meet state and national accreditation benchmarks

Expense and Supply Management:

  • Assists with monitoring office supply levels and ordering as necessary
  • Prepares and processes purchase orders and tracks departmental expenses. Manages invoices, processes payments, and reconciles financial records

Event Support:

  • Assists in planning, organizing, and executing special events and community engagement programs
  • Coordinates logistics, scheduling, and communications for departmental events
  • Ensures proper documentation and record-keeping for event planning and post-event follow-up

Confidentiality:

  • Maintains strict confidentiality of sensitive information in accordance with departmental policies
  • Ensures the security of confidential files and documents

Qualifications:

Education:

  • High school diploma or equivalent required.

Experience:

  • Minimum of two (2) years of clerical or administrative experience. Experience in a law enforcement or public safety environment preferred.

Licenses/Certifications:

  • Valid Florida Driver’s License.
  • Complete the required National Incident Management System (NIMS) training within 6 months of completion of probationary period.
