Summary:

The Payroll & Billing Clerk will play a crucial role in ensuring the accuracy and efficiency of payroll and billing processes. This individual will be responsible for processing payroll with precision, adhering to regulatory requirements, and managing billing activities effectively. The ideal candidate should have experience in payroll management and possess an understanding of payroll regulations and billing procedures. The role demands a detail-oriented professional capable of maintaining compliance and handling sensitive information with discretion.

Primary Job Duties:

Payroll Processing Responsibilities:

  • Processes weekly and biweekly payrolls accurately and in a timely manner using ADP Vantage.
  • Reviews and validates timecards, overtime, and deductions.
  • Ensures proper calculation and payment of employee wages, bonuses, commissions, etc.
  • Identifies and recommends process improvements to enhance payroll efficiency and accuracy.
  • Interprets payroll policies and tax rules to ensure appropriate tax, benefits and garnishment deductions are calculated and applied correctly.
  • Issues off-cycle manual payments based on payroll procedures and State requirements.
  • Follows Corporate internal controls and utilizes the pre and post audits cycle checklists to maintain compliance.
  • Stays up to date with federal, state, and local payroll regulations to ensure compliance.
  • Maintains accurate records and prepare reports for auditing and compliance purposes.
  • Resolves payroll discrepancies and handles employee payroll inquiries promptly.
  • Utilizes ADP Vantage to manage payroll functions, including data entry, adjustments, and reconciliations.
  • Implements and maintains best practices for payroll systems and processes.
  • Generates and reviews payroll reports, including earnings, taxes, and deductions.
  • Prepares necessary documentation for tax filings.
  • Works closely with HR, Operations and Finance departments to ensure seamless payroll operations.

Billing Responsibilities

  • Generates and issues accurate invoices for services/products rendered.
  • Ensures invoices are dispatched on time and in accordance with company policies.
  • Maintains accurate records of all billing transactions.
  • Prepares and analyzes billing reports and statements as required.
  • Ensures billing processes comply with company policies and relevant regulations.
  • Provides exceptional support to internal and external customers regarding billing inquiries and issues.
  • Ensures customer internal satisfaction through prompt and professional communication.

 

Qualifications:

  • Excellent verbal and written communication skills
  • 3+years of experience in payroll processing/billing preferred
  • Experience in working with ADP Vantage is helpful but not required
  • Proficient in Microsoft Office Suite or related software, as well as other accounting software programs
  • Ability to work independently and in a fast-paced environment
  • Ability to anticipate work needs and interact professionally with customers
  • Excellent organizational skills and attention to detail
  • High school diploma or equivalent required; associate degree or higher in Accounting, Finance, or related field preferred
  • Strong understanding of payroll regulations, tax laws, and billing procedures
  • Excellent attention to detail and accuracy in handling payroll and billing information

Shift: 1st, M-F

Pay Range: $20-$25/hr DOE
