Job Description

Ryan Companies US, Inc. has a career opportunity for a Project Assistant to facilitate the planning, coordinating, scheduling and cost accounting of a variety of commercial construction types in our Austin, TX office. We are seeking a highly motivated individual with 3-5 years of administrative experience and 2 years of experience in construction preferred. A successful candidate will possess a thorough knowledge of construction terminology and processes and is expected to initiate and manage standard tasks with little or no supervision. A minimum of an associate’s degree or 4 year’s equivalent work experience is preferred.

Specific duties include:

  • Support the project team including the Project Manager and Superintendent with day to day operations of a project including but not limited to project direction, planning, completion, and financial outcome
  • Assist Project Manager/project staff in planning the work schedule and arranging for assignment of project personnel and equipment as needed to ensure project progresses on schedule and within prescribed budget
  • Prepare trade contracts and bid packages and assist with procurement process.
  • Utilize integrated software systems to generate and track subcontracts, purchase orders, construction documents, RFI’s, submittals, invoices and insurance certificates. [Integrated systems include but are not limited to: Proliance, Gradebeam, Textura, Oracle JD Edwards Enterprise One, Concur, CornerStone OnDemand, Box and WebEx]
  • Compose and/or edit letters, memos, reports, procedures, etc. as required by Project Manager or other project staff
  • Create and maintain project documents within predominately paperless office environment
  • Prioritize and plan work activities, develop realistic action plans, maintain work flow and procedures
  • Prioritize workload to meet project goals
  • Build and maintain relationships with designers, consultants, vendors and subcontractors.
