SUMMARY 

Provide administrative and technical support to the project team to ensure proper execution of the contract.  Accurately read plans and specifications of the project.  Coordinate, monitor, and track various project processes and documentation.  Assist the project team the construction process of the project efficiently, professionally, safely, within budget, and on schedule.  Work as a team member in conjunction with estimators, architects, owners, subcontractors, and the public. 

ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned)

Preconstruction

  • Review preliminary drawings and specifications
  • Assist with project estimating, bidding, and analysis
  • Assist with schematic construction cost estimates to establish control budget
  • Assist with a constructability review of design including site logistics, site access, site utilities and lay-down areas
  • Assist with a milestone schedule for the project for the early design phase through the completion of construction including the identification of long lead items
  • Identify and review value engineering (“VE”) opportunities with project team
  • Assist with the preparation and filing of permit drawings
  • Help prepare and execute the prime contract and exhibits

Project Records

  • Assist with all project documentation including the following:
    • Prime Contract
    • Prime Contract Exhibits
    • Subcontracts
    • Purchase Orders
    • Delivery Tags
    • Invoices
    • Correspondence
    • RFI’s
    • Procurement
    • Submittals
    • Logs
    • Owner Pay Requests
    • Revised Control Estimates
    • Meeting Minutes
    • Prime Contract, Subcontract, and Vendor Change Orders
    • Weekly job site photographs for all work completed and in progress

Purchasing

  • Assist with the solicitation of competitive pricing on all materials purchased
  • Confirm materials meet specification requirements
  • Review substantial purchases with project team prior to commitment
  • Assist in the preparation of all Purchase Orders
  • Maintain Purchase Order log
  • Check deliveries against delivery tags
  • Assist with the cost coding of invoices and attach delivery tag for processing by accounting via TimberScan

Contract Administration

  • Review and understand Prime Contract commitments, obligations, dates and deliverables
  • Assist with the preparation of all change orders to the prime contract with input from project team
  • Review and qualify subcontractor and vendor bids, establishing the estimate with the most competitive and competent proposals
  • Assist in the preparation of subcontracts with input from project team
  • Confirm subcontract language conforms with prime contract and construction documents
  • Assist in the preparation of all change orders to subcontracts with input from project team
  • Maintain change order log for prime and subcontracts
  • Review project drawings, specifications and locations thoroughly

Submittals

  • Maintain submittal log
  • Assist in the solicitation of submittals as required and in the order of project needs with an awareness of lead times
  • Review all submittals for conformance to construction documents
  • Review all submittals for correct dimensions, compatibility and completeness
  • Transmit submittals per submittal process and track

Scheduling

  • Assist with the management of the day-to-day requirements of construction schedules on assigned projects; coordinating the timely delivery of materials, performance of sub trades, county and state inspections, temporary services, changes, etc.
  • Assist in the preparation of the project schedule with input from project team
  • Maintain a current project schedule, update weekly to track progress
  • Assist the project team with the administration of the short interval subcontractor schedules
  • Transmit schedule information to subcontractors on a periodic basis to keep them current with project progress and requirements
  • Alert project team regarding schedule slippage or milestone events in jeopardy
  • Understand the scheduling sequence of a project, relationships between various activities, and be able to assemble them into a critical path schedule

Pay Requests

  • Assist in the preparation of pay requests for submission to Owner; include lien release and all required backup
  • Assist in the review and correction or approval of subcontractor pay requests and vendor invoices as appropriate

Monthly Project Reporting

  • Assist in the preparation of a monthly project status report to include the following:
    • Project highlights
    • Owner communication
    • Updated schedule
    • Updated project logs
    • Updated cost forecast

Meetings

  • Assist with regular team meetings and maintain records
  • Assist with regular OAC meetings and maintain records
  • Assist with subcontractor buyout meetings prior to award

Relationships

  • Maintain professional relationships with the following:
    • Project team members
    • Owner or Owners Representatives
    • Design team members
    • Professional community
    • Subcontractors
    • Vendors
    • Inspectors
    • Union officials
  • Develop a broad knowledge of working relationship with local subcontractors and vendors as well as those off island and out of state. Determine those who are qualified

Project Closeout

  • Help ensure timely completion of all deficiency corrections
  • Assist in the preparation of all project documentation for archival (physical and digital) when appropriate
  • Help ensure completion and submission of all closeout requirements including:
    • Final building inspections
    • Notice of completion
    • As-built drawings
    • Maintenance manuals and materials
    • Warranty documentation
    • Final pay application

Safety

  • Help job site with complying with all federal and state rules and regulations as well as the company safety program
  • Help ensure all operations are conducted in a safe manner consistent with the company’s safety program
  • Assist in conducting mass safety meetings
  • Assist in conducting a detailed post-accident investigation
  • Help project team keep subcontractors and vendors in compliance with company safety policies and procedures
  • Help maintain a safe work environment for all personnel

Software

  • Assist with the management and maintenance of all projects via company-provided software:
    • Procore
      • Estimating, bidding, RFIs, submittals, transmittals, inspections, incidents, observations, punch list, meetings, daily site logs, daily safety reports, site photos, drawings, specifications, documents, and other forms
    • Sage 300 CRE
      • Prime contract, commitments, change proposals, change orders, budget, cost forecasting, and other financial management
    • Timberscan
      • Vendor invoice management and approval
    • Microsoft office (Outlook, Word, Excel, Project)
    • Bluebeam Revu x64 Core

QUALIFICATIONS  

Education

  • Bachelor’s degree in Construction Management, Engineering, or similar field (Preferred)

Experience

  • 3-5 years of hands on experience in residential or commercial construction (Required)

SKILLS

  • Ability to work well in a team environment and communicate effectively
  • Demonstrated knowledge with construction practices, sequences, methods, etc.
  • Ability to read and interpret drawings, specifications, and contract requirements
  • Proficiency with MS Office, Sage 300 CRE, Procore, Timberscan, and Bluebeam
  • English speaking only and Japanese/English speaking (Preferred)

Pay

  • $75,000 - $105,000 per year depending on experience
