POSITION TITLE: Homebuilding Operations Coordinator

Position Summary:

The Homebuilding Operations Coordinator is responsible for assisting the Purchasing Agent under the direct supervision of the Sr. Vice President in the bidding process and documentation of subcontractor and supplier agreements, creation and maintenance of reports, interface with architects/engineers/subcontractors/suppliers, and coordinate the distribution of blueprints. In addition, the Homebuilding Operations Coordinator will provide administrative support and coordinate the flow of paperwork for the Operations Department. As well as create and maintain individual lot budgets and contract documents.

 

Essential Duties and Responsibilities:

The essential functions include, but are not limited to the following:

  • Manage relationships with subcontractor’s suppliers and manufacturers.
  • Assist in the maintenance, revision and improvement of the specifications and other subcontract documents.
  • Coordinate the distribution of blueprints within the company and to company subcontractors and suppliers.
  • Maintain the residential design files and records.
  • Assist in the bidding and execution of subcontract agreements.
  • Assist subcontractors and suppliers in their dealings with other departments within Porter homes.
  • Interact with the other members of the operations department to assure that plans, specifications and other documents are thorough, precise and complete.
  • Assist in the implementation of the Spectrum information management system as it relates to the Purchasing Department.
  • Enter all contract pricing in the Spectrum.
  • Be able to read and revise construction specifications.
  • Be able to accomplish monthly tracking in the Builder Resource Software Program.
  • Maintain Standard Pricing Price Cost Analysis.
  • Coordinate with Accounts Payable when contract changes occur in progressing projects for verification of purchase orders and change orders.
  • Assist in the maintenance, revision and improvement of the specifications and other subcontract documents.
  • Manage the distribution of blueprints within the company subcontractors and suppliers.
  • Assist in the construction, organization and management of the Decorator/Options Studio relationship.
  • Prepare and manage all contract documents related to site work and development.
  • Maintain complete confidentiality concerning all aspects of the bidding process and other proprietary information.
  • Assist Trade Contractors in the execution of the Contract Documents.
  • Collect and index information required by the Purchasing Department such as catalogs and manufacturers specification sheets.
  • Provide information for MSRV reports and FHA and VA description of materials.
  • Create and maintain individual budgets and subcontract agreements in Spectrum system including but not limited to the following:
    1. Create and maintain subdivisions, house plans, cost codes and options, indirect, marking and land budgets.
    2. Create individual house budgets and release houses for construction.
    3. Input construction orders and color selection (decorator items) sheets.
  • Input subcontract agreements in Spectrum system.
  • Create contract documents for Purchasing Department.
  • Update reports as required on a weekly basis.
  • Coordinate and document blueprint orders.
  • Create and maintain all Department files.
  • Create and update subcontractor lists by subdivision.
  • Create and maintain documents, under direction of Purchasing Agent for distribution to other departments such as Standard Features Lists, Option Price Books,
  • Prepare and complete bid packages for the bidding process.
  • Contact selected subcontractors to submit bids.
  • Collect, date stamp and properly file bids.
  • Maintain confidentiality concerning all aspects of the bidding process and other proprietorial information.
  • Create and distribute correspondence as required.
  • Answer subcontractor questions concerning the proper completion of bid forms.
  • Field phone calls and take messages.
  • Assist subcontractors in signing contracts.
  • Collect and index information required by Purchasing Agent such as material information and catalogs.
  • Assist Accounts Payable Department with budgeting and payment problems.
  • Provide information as needed for MSRV Reports, VA and FHA description of materials.
  • Educate self in the company’s policies, procedure, philosophies and paperwork and carry them out to the fullest.
  • Assist the Purchasing Agent and Senior Management as needed.

 

Minimum Qualifications (Knowledge, Skills and Abilities)

  • Minimum of two years experience in Residential Building or Purchasing.

  • Must be able to apply deductive reasoning to problematic situations.
