Job Description
Position Summary:
The Human Resource Specialist – DOT & Compliance supports the HR Manager in executing all compliance activities related to Department of Transportation (DOT) regulations and company policies affecting safety-sensitive and driver roles. This position is responsible for maintaining regulatory records, facilitating compliance processes, and portions of onboarding, and training efforts for DOT-regulated employees. The ideal candidate is detail-oriented, highly organized, and understands both HR and transportation compliance requirements.
Key Responsibilities:
- DOT Compliance Support
- Maintain and audit Driver Qualification Files (DQFs) to ensure all documentation is current and complete.
- Schedule and track drug and alcohol testing (DOT and non-DOT) including pre-employment, random, post-accident, and follow-up testing.
- Monitor and follow up on medical certifications, CDL renewals, and MVRs to ensure timely compliance.
- Assist with MVR checks and maintain logs in accordance with FMCSA requirements.
- Support internal and external audits by organizing and providing documentation.
HR Administration & Recordkeeping:
- Input and maintain accurate employee records in HRIS and DOT compliance systems.
- File and safeguard confidential HR documents in line with HIPAA and DOT standards.
Onboarding Assistance:
- Coordinate the completion of pre-employment screenings for DOT-regulated candidates, including FMCSA Clearinghouse queries, background checks, and physicals.
- Prepare onboarding packets and assist in delivering orientation materials for DOT-regulated employees.
- Track onboarding progress and communicate with hiring managers to ensure all steps are completed prior to hire.
Reporting & Communication:
- Generate compliance reports and dashboards for internal use.
- Alert the HR Manager as we approach deadlines, gaps, or compliance concerns.
- Support communication with drivers and managers regarding compliance-related requirements and deadlines.
Skills & Competencies:
- Basic understanding of FMCSA, DOT, and OSHA compliance standards.
- Strong organizational and time management skills.
- Ability to handle sensitive information with discretion and professionalism.
- Proficient in Microsoft Office Suite (especially Excel) and HRIS/compliance platforms (e.g., Samba Safety, Clearinghouse).
- Strong written and verbal communication skills.
Required Qualifications:
- Associate’s degree in Human Resources, Business Administration, or related field; or equivalent work experience.
- Minimum of 2 years of experience in HR, compliance, or transportation support roles.
- Familiarity with DOT regulations and HR documentation processes.
- Detail-oriented with strong follow-through and documentation habits.
Preferred Qualifications:
- Experience working in a construction, transportation, or logistics environment.
- Knowledge of FMCSA Clearinghouse and MVR monitoring systems.
