Job Summary: 

The Project Capture Coordinator plays a key role in supporting Entegrity’s business development efforts through ensuring seamless execution of proposals, CRM management, and internal sales operations. This position is also responsible for coordinating proposal inputs, supporting content development, maintaining data hygiene, and assisting with social media scheduling, advertising, and conference/tradeshow logistics.

This is a detail-oriented, deadline-driven role that requires strong organizational skills, communication, and the ability to work cross-functionally across sales, marketing, and implementation teams.

Typical Duties

Proposal & Capture Support

  • Assist with preparation of RFQ/RFP responses, including formatting, proofreading, and assembling content
  • Maintain and update resumes, project profiles, and proposal templates
  • Support creation of interview materials, decks, and client-specific deliverables
  • Help execute quality assurance and control (QA/QC) process for all outgoing proposals
  • Track pursuit milestones and maintain proposal schedule/calendar
  • Collaborate with the Project Capture Manager to ensure timely, complete submissions

Sales Operations & CRM Management

  • Maintain and update Salesforce data, including leads, opportunities, and client contacts
  • Manage bid calendar and internal tracking tools
  • Provide logistical support for sales meetings, including scheduling and recap follow-ups
  • Ensure project handoffs are properly documented and transitioned to accounting and implementation

Sales & Social Media Support

  • Assist in scheduling and organizing content for social media channels
  • Track project milestones and completed work for potential marketing content
  • Support conference and association logistics, including registrations and event materials
  • Provide coordination support for client testimonials and project visuals (in collaboration with Marketing)

Qualifications:

  • 2+ years of experience in sales support, proposals, or marketing coordination (AEC industry preferred)
  • Proficiency with Microsoft Office and Adobe InDesign (or willingness to learn)
  • Experience with CRM platforms (Salesforce preferred)
  • Excellent written and verbal communication skills
  • Strong attention to detail, time management, and organizational skills
  • Comfortable working in a fast-paced, deadline-driven environment
  • Team player who takes initiative and is comfortable with shifting priorities

Physical Demands:

  • Ability to continuously sit, stand, or walk.
  • Ability to bend, squat, climb stairs, and lift frequently.
  • Ability to lift up to 20 pounds occasionally.
