Position Summary:
The Assistant Project Manager (APM) supports the planning, execution, and completion of construction projects, ensuring they are completed on time, within scope, and within budget. This role involves administrative support, project coordination, financial tracking, risk management, and communication between internal teams, subcontractors, and clients. The APM will act as a liaison between the office and field personnel to ensure smooth project operations.
Essential Duties and Responsibilities include the following.
- Verify insurance requirements and subcontractor agreements prior to work commencement.
- Conduct research on potential General Contractors and competitors for upcoming projects.
- Maintain and update the bid and pending project list.
- Manage construction documents, permits, and ensure compliance with inspection agencies.
- Perform initial contract reviews and facilitate internal approvals.
- Assist in project setup, including customer details, job number assignment, and lien rights.
- Track and manage Requests for Information (RFIs) and change orders.
- Prepare and distribute meeting minutes for project team discussions.
- Provide general administrative support such as mail sorting, data entry, and document proofreading.
- Review and process subcontractor pay applications and ensure lien waivers and payments are tracked.
- Assist in processes related to pre-qualifications, invoicing, and change orders.
- Coordinate activities across project management teams and manage project resources and timelines.
- Break down larger projects into actionable tasks and establish project timelines.
- Liaise with clients to define project requirements, scope, and objectives.
- Assign tasks to internal teams and help manage schedules.
- Monitor progress, identify risks, and resolve issues promptly to ensure project deadlines are met.
- Work closely with the Project Manager to eliminate blockers and ensure smooth workflow.
- Utilize project management software to track hours, plans, and expenditures.
- Issue necessary legal documents such as contracts and agreements.
- Maintain thorough project documentation, progress reports, and plans.
- Conduct quality assurance checks to ensure standards and project specifications are met.
- Perform other related duties as assigned.

Education and/or Experience
To perform this job successfully, an individual must have at least a high school diploma, with an associate degree in a related field preferred. The ideal candidate will have a minimum of 2 years of administrative experience, particularly in construction project coordination or project management. Experience working in a fast-paced environment will also be beneficial. Strong proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint, and Teams) is essential. Familiarity with project management software such as Procore or Bluebeam is a plus.
Language/Interpersonal/Leadership Skills
The ideal candidate must have strong verbal and written communication skills, enabling clear and effective interactions with team members, clients, and subcontractors. Active listening and the ability to respond to others’ needs are crucial. Strong interpersonal skills are necessary for building relationships and fostering collaboration. Leadership abilities are important for motivating teams, assigning tasks, and ensuring accountability while maintaining a cooperative and goal-focused work environment.
Mathematical Skills
The role requires basic mathematical skills, including the ability to perform arithmetic operations (addition, subtraction, multiplication, and division) with whole numbers, fractions, and decimals. Strong analytical skills are also needed to track project budgets, timelines, and resources, ensuring that the projects stay on track and within scope
Computer Skills
To perform this job successfully, an individual should have proficient computer skills and experience with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Additionally, familiarity with Kojo and Procore is required, as these tools are essential for managing project documentation, scheduling, and communication. The ability to quickly learn and adapt to other project management software is also valuable for this role.

Work Environment:
The Assistant Project Manager will work in both office and construction site environments. On construction sites, the individual may be exposed to extreme temperatures, noise, dust, and confined spaces. The position may require travel to various job sites, and the individual must be adaptable to varying work conditions. Flexibility in work hours is also required to accommodate project schedules, deadlines, and urgent matters that may arise outside of regular office hours.
