About the Position

The main responsibility of the Project Management Administrator (PMA) is to support project teams in their daily duties to efficiently manage projects.  This position may also need to support Accounting, Field Operations and communicate closely with Estimating in the transition of projects from Estimating to Project Management.

Key Responsibilities Include:

  • Project set up – internal project set up, job cost and Schedule of Values (SOV) entry, set up files for the project team, order bonds and insurance, compile and send owner contract documents.
  • Project subcontracts – project subcontract templates, draft and transmit subcontract packets, track and log vendor documents, verify and log various employment information, enter and update project vendor lists.
  • Assist Superintendents – set up and train on compliance system, set up files, copy plans, specs, addendums and other document changes, compile project specific paperwork and binders, schedule required client training, send monthly timesheets to Superintendents.
  • Communications – entry and distribution of submittals and return submittals, weekly schedules from Superintendents, executed change order documents, meeting minutes, and draft and transmit letters.
  • Project close-out – request and track project record documents, warranties and record drawings from subcontractors, assemble the above information in a neat and orderly fashion, scan in all information when complete, distribute to owners, architects, etc.
  • Warehouse duties – enter and print reports on equipment monthly, inventory equipment and supplies annually.
  • Miscellaneous duties – filing, internal system and compliance program audits, archive files, order office supplies, print cost reports for estimators/superintendents, compile state and federal posters, and prepare mailings.

  • Professional and tactful when communicating with co-workers, clients, subcontractors, architects and engineers on the phone, in person, and electronically.

Hiring Range:

$40,000 - $50,000 

At Poettker Construction, base salary is one component of a competitive compensation package for employees. Our pay ranges are broad to allow for movement within our organization and to accommodate different skill sets and levels of expertise. We take into consideration a variety of factors including, but not limited to, skills, abilities, experience, education, credentials, and internal equity when determining the base salary offered. Roles are eligible for additional rewards including annual incentive payments based on individual and company performance.
