Position Overview
Gregory Construction is seeking an experienced Contract Administrator to support our construction operations and project teams.
This role is responsible for managing purchase orders, subcontracts, job setup, billing and pay applications, contract compliance, certified payroll, and commercial insurance requirements across multiple construction projects. The Contract Administrator works closely with project managers, subcontractors, vendors, accounting, insurance brokers, and company leadership to ensure documentation is accurate, complete, and compliant.

What You’ll Do
- Prepare, issue, track, and amend purchase orders and subcontract agreements
- Collect and maintain required subcontractor documentation, including W-9s, Certificates of Insurance (COIs), EMRs, OSHA 300 logs, lien releases, and safety documentation
- Assist with new project setup, including entering job budgets and reviewing contract requirements
- Prepare and submit customer billing and pay applications
- Process subcontractor billing and verify required documentation before payments are released
- Review contracts and help ensure Gregory Construction and its subcontractors remain compliant with project requirements
- Process and maintain change orders and project closeout documentation
- Coordinate prevailing wage and certified payroll requirements
- Administer and maintain documentation related to Gregory Construction’s commercial insurance programs
- Coordinate with insurance brokers and carriers regarding COIs, renewals, endorsements, audits, and claims
- Manage applicable OCIP/CCIP enrollment, reporting, documentation, and compliance
- Maintain organized records across multiple active construction projects

What We’re Looking For
- High school diploma required
- Associate’s or bachelor’s degree in business, construction management, or a related field is preferred
- Previous experience in contract administration, project administration, insurance administration, or a similar construction-related role preferred
- Construction industry experience strongly preferred
- Familiarity with commercial insurance, including general liability, workers’ compensation, automobile, umbrella/excess, and related coverage
- Experience with OCIP/CCIP programs is a plus
- Experience with prevailing wage and certified payroll is a plus
- Comfortable working with accounting/ERP systems and Microsoft Excel
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Ability to manage multiple projects, priorities, and deadlines
- Strong written and verbal communication skills
