Why This Role Exists

Our office team is taking on a focused data quality project: reviewing customer, site, contract, inspection, and service records across our business systems to confirm they are complete, accurate, and consistent. It is detailed, careful work, and we want someone whose full attention is on it.

This is a temporary, full-time position centered on that review, along with booking contracts into our system and day-to-day data entry and administrative support for the office. For the right person, it may grow into a permanent role on our team.

What You Will Do

Data Review and Cleanup

  • Compare records across our business systems and source documents, field by field, to confirm that customer, site, contract, inspection, service, and equipment data is accurate and complete.
  • Log discrepancies clearly and consistently, categorize them, and track each one through to correction.
  • Correct data directly in our systems where authorized, and flag items that require review by department leads.
  • Build and maintain Excel trackers that show review progress and open items so leadership can see where we stand at any time.
  • Help identify patterns in the errors so we can fix root causes rather than one record at a time.

    Contract Booking and Data Entry

  • Book new and renewing contracts into our business system: enter customer, site, pricing, frequency, and scope details accurately and completely so the work flows to the right teams.
  • Enter and update customer, job, inspection, and service information accurately and on time.

    Who We Are Looking For

  • Strong attention to detail. You notice when a phone number is one digit off or a contract date does not match, and you do not let it slide.
  • Solid Excel skills. You are comfortable with sorting, filtering, VLOOKUP or XLOOKUP, basic formulas, and keeping a clean spreadsheet that other people can read. Pivot tables are a plus.
  • A quick learner. You will be working in more than one business system. You pick up software fast and are not afraid to ask questions.
  • Organized and self-directed. You can take a list of several hundred records, work through it methodically, and report on where you are without being asked.
  • Reliable and accurate under repetition. Much of this work is detailed and repetitive, and the quality has to stay high from the first record to the last.
  • Clear communicator. You document what you find in a way that makes sense to someone who was not sitting next to you.
  • Prior office, administrative, data entry, bookkeeping, or ERP experience is helpful. Experience in construction, fire protection, or a service contracting business is a plus but not required.

    The Details

  • Schedule: Full-time, 40 hours per week, Monday through Friday during regular office hours, onsite at our Plantsville, CT office.
  • Status: Temporary assignment with the potential to convert to a permanent position based on performance and business need.
  • Start: As soon as possible.
  • Requirements: High school diploma or equivalent; proficiency in Microsoft Excel and Outlook
