Elliot Company, Inc. is seeking a Contract Administration Coordinator to support the administration, execution, and management of contracts, subcontracts, and business agreements across the organization. This role partners closely with operations, finance, legal, and project management teams to ensure contract compliance, documentation accuracy, and effective contract lifecycle management. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where accuracy and responsiveness are critical to business success.

 

Overview:

 

The Contract Administration Coordinator plays a vital role in supporting the company's contract management processes from initiation through closeout. This position is responsible for coordinating contract execution, maintaining accurate records, monitoring contract obligations and deadlines, and supporting compliance requirements. The role serves as a key resource for internal stakeholders by ensuring contract documentation is organized, accessible, and maintained in accordance with company standards. Through strong organizational skills, attention to detail, and effective communication, the Contract Administration Coordinator helps reduce risk, improve operational efficiency, and support successful project execution.

 

A Day in the Life:

 

  • Coordinate the full lifecycle of contracts, subcontracts, and business agreements from drafting and review through execution, renewal, and closeout.
  • Facilitate contract routing, approvals, execution, and distribution to appropriate stakeholders.
  • Monitor contract terms, milestones, deadlines, and expiration dates to ensure timely action and renewals.
  • Maintain accurate contract files and supporting documentation.
  • Respond to contract-related requests and support operational leaders with documentation needs.
  • Review contracts for completeness, accuracy, and alignment with company policies and procedures.
  • Support compliance with customer, regulatory, and company requirements.
  • Identify and escalate contract inconsistencies, risks, or compliance concerns.
  • Assist with internal audits and document retention initiatives.
  • Maintain confidentiality of sensitive business and contractual information.
  • Organize and maintain electronic and physical contract records.
  • Update contract databases and tracking systems accurately and timely.
  • Track amendments, obligations, renewals, and other key contract activities.
  • Prepare contract status reports and supporting documentation for leadership.
  • Coordinate with operations, finance, legal, and project teams to support contract administration activities.
  • Support process improvement initiatives that enhance contract management efficiency.
  • Serve as a dependable resource for contract-related questions and administrative support.
  • Perform other duties as assigned.

     

     

    Qualifications & Skills:

     

  • High school diploma or equivalent.
  • Valid Driver's License.
  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Adobe applications.
  • Excellent organizational, administrative, and document management skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to work independently and collaboratively across multiple departments.
  • Self-motivated with strong problem-solving and time management abilities.
  • Ability to successfully complete pre-employment screenings, including background and drug testing.
  • Associate's degree, bachelor's degree, business certificate, or equivalent experience is beneficial.
  • Previous experience supporting contract administration, contract management, legal documentation, or related functions is beneficial.
  • Experience with compliance requirements, records management, and document control systems is beneficial.
  • Advanced Microsoft Excel and records management experience is beneficial.
  • Experience supporting construction, utility, engineering, or project-based organizations is beneficial.
  • Strong desire to learn, develop, and grow within a dynamic organization.
