Operations Specialist

Reports to: Operations Director

Status: Full-Time, Non-Exempt; Overtime and benefits eligible
Salary: $50,000 – 60,000 depending on experience and qualifications

Brookings Regional Growth Alliance is looking for an organized, dependable, and service-minded professional to join our team as an Operations Specialist.

In this role, you'll work closely with our Operations Director and CEO while supporting the day-to-day administrative and operational needs of the organization. You'll coordinate meetings, prepare materials, track action items, assist with payments and basic bookkeeping, work with vendors, and help with events and special projects.

 

You'll also take the lead in coordinating administrative services Growth Alliance provides to organizations through management agreements, giving you the opportunity to work with boards, business and community leaders, and other partners throughout the region.

What You'll Do

Support Leadership & Keep Things Organized

  • Provide administrative support to the Operations Director and CEO.
  • Schedule and coordinate meetings, appointments, and organizational activities.
  • Prepare agendas, meeting materials, correspondence, and other documents.
  • Take clear and accurate meeting notes and identify decisions, action items, and next steps.
  • Track deadlines and follow up with others to help ensure commitments and assignments are completed.
  • Assist with scheduling CEO meetings, board activities, and other organizational events.
  • Keep records, files, and documentation accurate and organized.

Coordinate Contracted Administrative Services

  • Take the lead in coordinating administrative services Growth Alliance provides through management agreements.
  • Schedule board and committee meetings and coordinate meeting logistics.
  • Prepare and distribute agendas, board packets, financial information, and other meeting materials.
  • Attend meetings as needed, take meeting notes, and maintain meeting records.
  • Track action items and follow up with appropriate individuals to keep work moving.
  • Perform basic bookkeeping responsibilities, such as creating invoices, recording transactions and payments, assisting with deposits, and reconciling applicable financial records.
  • Help ensure required documents, information, and follow-up are completed accurately and on time.

Support Day-to-Day Operations

  • Receive and record payments related to memberships, sponsorships, events, and other activities.
  • Assist with invoices, deposits, expense documentation, and other routine financial administrative tasks.
  • Coordinate with vendors for routine building maintenance, repairs, and other office needs.
  • Provide occasional reception coverage by greeting visitors and helping direct questions or requests.
  • Assist with organizational meetings, events, special projects, and other initiatives as needed.

What You'll Bring

  • At least 2–3 years of relevant work experience in administrative support, office administration, operations, executive support, legal administration, bookkeeping, or a related area.
  • Experience supporting executives, organizational leaders, boards, attorneys, or other professionals is a plus.
  • Strong organizational skills and exceptional attention to detail.
  • The ability to take accurate meeting notes and turn conversations into clear action items and follow-up.
  • Strong written and verbal communication skills.
  • Basic bookkeeping or financial administrative experience, including familiarity with invoices, payments, deposits, or financial records.
  • Proficiency with Microsoft Outlook, Word, and Excel and the ability to learn new systems and technology.
  • Professionalism and good judgment when working with confidential or sensitive information.
  • A customer-service mindset and the ability to work comfortably with staff, board members, members, vendors, business leaders, and community partners.
  • Initiative, adaptability, and the ability to manage multiple priorities without losing track of the details.
  • An associate degree in business administration, office administration, accounting, or a related area is preferred, but equivalent relevant experience will be considered.

Compensation

  • Competitive base salary of $50,000 to $60,000 annually, based on qualifications and experience.
