Summary:
The On-Site Dispatcher supports the transportation operations by assigning loads from the load board, coordinating drivers and equipment, prioritizing time-sensitive requests, and maintaining accurate system information. This role requires sound judgment, urgency, clear communication, and consistent follow-through to ensure loads are executed safely, efficiently, and in alignment with required key performance indicators (KPIs). This is an on-site position in an active transportation and yard environment. The employee must be able to remain at a workstation for extended periods, use a computer and communication equipment, and communicate clearly in an environment with frequent interruptions and shifting priorities. The role may require occasional movement within the facility or yard while following all site safety requirements.
Primary Job Duties:
- Review the load board and assign entered loads to available drivers based on priority, driver availability, equipment status, location, and service requirements.
- Identify and prioritize hot, expedited, or time-sensitive requests; communicate changes promptly and drive timely execution.
- Continuously monitor open loads and replan assignments when a load becomes hot or when another qualified driver can complete the move sooner.
- Use sound operational judgment to balance urgency, driver productivity, customer needs, and overall network efficiency.
- Answer incoming phone calls and respond to operational questions, service issues, and requests in a professional and timely manner.
- Communicate with drivers by radio and phone to provide load instructions, confirm status, address delays, and coordinate changes.
- Track out-of-service equipment, communicate equipment restrictions, and prevent unavailable assets from being assigned.
- Update the Yard Management System (YMS) accurately and promptly to reflect equipment location, availability, and out-of-service status.
- Maintain accurate load, driver, and equipment information across required systems and operational trackers.
- Monitor required KPIs, identify risks to performance, and take timely corrective action or escalate concerns when needed.
- Partner with drivers, yard personnel, operations leadership, maintenance, and Customer contacts to resolve barriers and maintain service.
- Document significant service issues, assignment changes, delays, and handoff information for the next shift.
- Follow all site safety, security, communication, and operating procedures.
Qualifications:
- High school diploma or equivalent.
- Strong verbal and written communication skills.
- Ability to prioritize multiple requests and make timely decisions in a fast-paced environment.
- Basic computer proficiency and the ability to learn load-board, dispatch, and yard-management systems.
- Strong attention to detail and commitment to accurate data entry.
- Ability to work collaboratively with drivers, site personnel, customers, and leadership.
- Dependable attendance and schedule flexibility are required. Work schedules are subject to change based on business needs and operational demands, including overtime, weekends, holidays, or alternate shifts when required.
- Previous experience in dispatch, transportation, logistics, yard operations, or a related environment.
- Experience using a Transportation Management System (TMS), Yard Management System (YMS), electronic load board, or similar operational software.
- Experience communicating with commercial drivers by radio or phone.
- Familiarity with KPI-driven operations and service-performance reporting.
