Summary

The Purchasing Coordinator will efficiently and accurately maintain materials and material records needed by the Cooperative and to coordinate this activity with the needs of all departments. Receives, stores and issues electric and fiber materials, equipment, tools and safety equipment. Performs all aspects of coordination for a full-service warehouse.

Job Responsibilities

  • Perform duties in accordance with the Cooperative’s safety rules, operating regulations and practices, and report unsafe conditions and practices.
  • Manages vendor relationship to ensure the Cooperative has the appropriate sourcing for all material used in the electric and fiber construction and maintenance programs.
  • Responsible for maintaining continuous inventory control over stock in storage, including monthly status reports, to ensure an adequate supply for the construction and maintenance programs of the Cooperative.
  • Responsible for determining material necessary for construction from staking sheets, and preparing same for maintenance and construction crews.
  • Responsible for preparing material pick lists where applicable and makes sure receiving invoices are filled out for materials received and inputs material transactions into the computer.
  • Responsible for preparing and checking requisitions if applicable, contacting suppliers, arranging delivery of all material as needed by the organization.
  • Responsible for monitoring onsite fuel storage tanks for appropriate levels of fuel, as well as the monthly reconciliation of fuel within the NISC system.
  • Responsible for setting up new material inventory items in NISC system, including the assignment of corresponding asset categorization.
  • Completes paper work and computer entries documenting receipts and distribution of material to properly account for material transactions and inventory. This includes working effectively and efficiently within the current software system as well as developing and maintaining appropriate spreadsheets where applicable or as directed.
  • Advises of discrepancies between the purchase order and material received and of any damages to assure proper receipt.
  • Performs periodic spot checks and annual inventory counts in the warehouse to ensure inventory is accurately recorded in the NISC system.
  • Periodically performs spot checks of offsite inventory to ensure it is accurately recorded in the NISC System.
  • Assist Warehouse staff in receiving off site deliveries to inspect and accept material.
  • Provides maintenance and proper storage for oil-filled transformers and other line equipment, including oil test sampling, to insure availability of functional and well-maintained equipment and compliance with applicable environmental regulations.
  • Works with Warehouse staff to schedule deliveries of material
  • Prepares packages for shipping to assist in timely delivery and receipt of needed items and deliver to Ace Hardware drop off or the USPS in town.
  • Must be able to weigh and measure materials.
  • Attend meetings, seminars and training as requested.
  • Ability to collaborate with Warehouse staff and Engineering staff to ensure the appropriate material is available at the appropriate time within specs provided.
  • Subject to random drug and alcohol testing consistent with DOT regulation and Paulding Putnam Electric policies.
  • Performs all other tasks and duties as assigned by supervisor.

Specifications

Education and Experience:

  • High school or vocational school graduate or have satisfactorily completed the General Education Development (GED).
  • Minimum of one year experience in a related position is preferable.

Skills and Abilities:

  • Attention to detail and excellent organizational skills.
  • Knowledge of material management procedures preferred
  • Must have sound knowledge of the proper and safe use of the tools and equipment used in warehouse operations.
  • Ability to operate a forklift and obtain forklift certification.
  • Must possess both written and verbal skills and ability to do math.
  • Must have computer knowledge and use of Microsoft Office (Excel; OUTLOOK; Word; etc.

Additional Expectations:

  • Maintain confidentiality regarding PPEC proprietary information and other department information. Overtime may be required to complete the duties as directed. Assistance may be expected during major outages.

  • Must occasionally lift and/or move on a daily basis 20-75 pounds. May occasionally need to lift and/or move 20-75 pounds.

  • Inside and outside work. Exposure to varying temperature conditions including cold below 32 degrees and heat above 100 degrees.
  • Job requires standing, climbing, bending, pulling and reaching majority of the time.
  • Must possess a valid driver’s license.
