Job Summary

The Bookkeeper maintains accurate and up-to-date financial records for the entities owned and/or controlled by Bart Walker. This includes recording day-to-day financial transactions, reconciling accounts, maintaining clean separation between entities, and supporting the Accounting Manager through month-end close.

Because this role works across multiple related entities and has visibility into ownership-level financial information, discretion and sound judgment are as essential to the job as technical accuracy.

Core Accountability

The Bookkeeper is accountable for the accurate, complete, and timely recording of financial transactions in the general ledgers of the companies; for ensuring expenses are coded to the correct entity, account, and job; and for keeping financial records organized, audit-ready, and maintained in accordance with company processes.

Duties and Responsibilities

●     Records daily financial transactions, including purchases, receipts, and payments, in the accounting system.

●     Maintains the general ledger and posts journal entries as directed.

●     Codes invoices and expenses to the correct entity, general ledger account, and job cost code.

●     Maintains clean separation between entities and records intercompany transactions and allocations accurately.

●     Reconciles bank, credit card, and vendor statements monthly and resolves discrepancies.

●     Supports accounts payable and accounts receivable as needed, including entering invoices and applying customer payments.

●     Reviews and reconciles employee expense reports and company credit card transactions.

●     Maintains vendor records and supports annual 1099 preparation.

●     Assists with month-end and year-end close, including preparing supporting schedules and account reconciliations.

●     Prepares basic financial reports and account summaries for accounting leadership.

●     Assists with internal and external audits by pulling and organizing supporting documentation.

●     Files and maintains organized, audit-ready financial records.

●     Performs other related duties as assigned.

Key Performance Indicators

●     Transaction accuracy. Records financial transactions accurately, achieving a high rate of first-pass accuracy with minimal corrections and rework.

●     Coding accuracy. Codes transactions to the correct entity, account, and job with minimal reclassification at close.

●     Reconciliation timeliness. Completes bank, credit card, and vendor reconciliations within established month-end deadlines, with any unresolved variances clearly documented.

●     Month-end close support. Delivers assigned close tasks and supporting schedules on time, contributing to a consistent and timely close.

●     Records management. Maintains complete, organized financial documentation that is audit-ready and retained in accordance with company policies.

●     Audit support. Responds promptly and accurately to audit and management requests for supporting documentation.

●     Discretion. Handles confidential and ownership-level financial information appropriately at all times.

Required Skills and Abilities

●     Reliable, trustworthy, and able to handle confidential financial information with discretion.

●     Working knowledge of basic accounting principles, including double-entry bookkeeping and account reconciliation.

●     Proficient in QuickBooks, with the ability to learn other accounting software systems.

●     Proficient in the Microsoft Office Suite, particularly Excel and Word.

●     Strong analytical and problem-solving skills.

●     Excellent organizational skills and attention to detail.

●     Excellent verbal and written communication skills.

●     Collaborative and team-oriented.

●     Ability to maintain confidential and meticulous records.

●     Regular, predictable, and punctual attendance.

Education and Experience

●     High school diploma or equivalent required. Associate's degree in Accounting, Bookkeeping, or Business preferred.

●     Two or more years of bookkeeping or accounting experience preferred.

●     Experience managing books for multiple entities preferred.

●     Experience with job costing in the construction industry preferred.

Physical Requirements

●     Prolonged periods sitting at a desk and working on a computer.

●     Must be able to lift up to 15 pounds at times.
