Responsibilities and Duties

    • Coordinate North American tradeshows, conferences, and industry events from initial planning through post-event closeout
    • Maintain the annual tradeshow calendar, ensuring deadlines, exhibitor requirements, registrations, accommodations, logistics, and event preparations are completed on schedule
    • Research and provide information on tradeshows and industry events identified by the business development team, and gather feedback regarding participation and effectiveness
    • Track and monitor event spending against established budgets, maintain cost records, monitor performance, and help identify cost-saving opportunities
    • Coordinate booth setup, teardown, labor, furnishings, electrical, freight, shipping, and other event requirements
    • Serve as the primary liaison with tradeshow organizers, freight providers, service contractors, and other event vendors
    • Coordinate the preparation, quality control, inventory management, packing, shipping, tracking, and return of tradeshow displays, promotional materials, and giveaway items
    • Troubleshoot shipping, logistics, and exhibitor service issues as they arise
    • Provide administrative support to business development and marketing teams, including coordinating materials, maintaining records, preparing reports, and assisting with special projects
    • Perform other duties as may be assigned by the Supervisor

    Requirements

    Education:

    • High School Diploma or GED required

    Experience:

    • Two to five years of experience in event coordination, trade show administration, logistics coordination, marketing administration, project administration, or a related role

    Certifications/Licenses:

    • Valid driver's license

    Reliable transportation for travel between offices, warehouses, and event locations

    Knowledge, Skills, and Abilities:

    • Skilled in Microsoft Office Suite, particularly Excel, Word, and Outlook
    • Excellent written and verbal communication skills
    • Strong attention to detail and ability to manage multiple projects and deadlines simultaneously
    • Ability to work independently and proactively manage priorities
