Position Summary
Mechanical Concepts is seeking an organized, detail-oriented Warranty Administrator / Claims Processor to support our service, parts, and equipment sales operations.
This position is responsible for processing manufacturer warranty claims, tracking claims through resolution, maintaining accurate documentation, and coordinating with customers, manufacturers, and internal departments.
The ideal candidate is dependable, customer-focused, and able to manage multiple priorities while ensuring warranty claims are processed accurately and efficiently.
Responsibilities
Review, process, and submit warranty claims in accordance with manufacturer guidelines and policies.
Track claim status and follow up with manufacturers to resolve delays, discrepancies, and outstanding issues.
Maintain accurate warranty records, including parts, labor, claim status, and supporting documentation.
Verify warranty coverage and clearly explain applicable warranty terms and conditions.
Coordinate with service teams to support timely warranty repairs and claim resolution.
Track and order warranty replacement parts to help prevent service delays.
Stay current with manufacturer bulletins, warranty policies, and claim procedures.
Assist service, parts, and new equipment sales departments with warranty-related questions and issues.
Communicate professionally with customers, technicians, contractors, and manufacturers throughout the claims process.
Process freight claims involving damaged shipments.
Process contractor claims involving damaged or nonworking products.
Maintain accurate records for reporting, reconciliation, and audit purposes.
Perform additional warranty- and claims-related duties as assigned.
Qualifications
Strong customer service and communication skills.
Proficiency in Microsoft Excel and other Microsoft Office applications.
Excellent organizational and time management skills.
Ability to manage multiple tasks and priorities in a fast-paced environment.
Strong attention to detail and commitment to accuracy.
Excellent written and verbal communication skills.
Previous experience in service administration, warranty processing, or a related role preferred.
Knowledge of HVAC equipment, parts, repairs, and manufacturer warranty procedures preferred but not required.
Ability to collaborate effectively with service, parts, sales, and other departments.
Dependable, professional, and able to follow through on outstanding issues.

💵 Pay & Incentives
Full-time with 40 hours guaranteed each week
Bi-weekly pay and overtime as needed
Performance-based incentive plan

Vacation may be carried forward in accordance with company policy
⏰ Earned PTO
Earn 4 hours of PTO per month following the applicable 90-day waiting period
PTO may be used for illness, personal time, appointments, and personal or family emergencies
Earned PTO may be carried over in accordance with company policy

Coverage is available beginning the first day of the month following 30 days of employment.
